We have an exciting opportunity for an Administrative Assistant to join our team of talented professionals within our IT Department. 


The IT Administrative Assistant supports the IT Director in ensuring the efficient operations of the IT Department by handling administrative and clerical tasks and assisting with IT asset management. Specific responsibilities include:

  1. Provide administrative support to the IT Director, including preparing correspondence, reports, memos, and emails.
  2. Maintain an organized filing system (both digital and physical).
  3. Perform general office management tasks, such as maintaining office organization, office supplies and handling incoming and outgoing mail.
  4. Schedule and coordinate meetings, including preparing agendas, taking meeting minutes, and following up on action items.
  5. Assist with IT asset management including processing IT equipment orders, managing inventory, coordinating deployment and handling returns. 
  6. Review all IT invoices, monitor expenses for IT services and equipment, and assess cost efficiency.
  7. Greet and assist visitors and employees with IT-related inquiries.
  8. Answer helpdesk calls, log issues, categorize and assign trouble tickets, and provide basic support via the phone, email or ticket system.
  9. Serve as a liaison between the IT department and vendors, staff and the broader community.
  10. Assist with special projects and other duties as assigned.

Requirements

  • High school degree plus at least 3 years of experience in an administrative assistant role is required.  
  • Experience with troubleshooting Tier I helpdesk issues is preferred.  
  • Must have strong verbal and written communication skills, excellent customer service skills and interpersonal abilities.  
  • Must be highly organized, detail-oriented, and able to manage multiple tasks simultaneously.  
  • Must have the ability to prioritize and execute tasks effectively in a fast-paced environment.  
  • Must be self-motivated and directed and have the ability to work independently and as a part of team.  
  • Must be proficient in current Windows OS, Microsoft Office suite, and basic IT troubleshooting.  
  • Must have the ability to learn and adapt to new technologies quickly.
