Schedule: Mon.-Fri., 8a-5p

Work site: 2472 Clower Lane, Bartow, FL 33830

MAJOR FUNCTION
The Asset Compliance Specialist ensures the accurate tagging, tracking, and documentation of all capital equipment assigned to Polk County Fire Rescue. This position serves as the primary liaison between the Fire Rescue Division and the Polk County Board of County Commissioners Fixed Assets Department to maintain compliance with inventory and audit requirements.

ILLUSTRATIVE DUTIES
Asset Management
• Tags all capital equipment with both BOCC fixed asset tags and Polk County Fire Rescue RFID tags.
• Updates and maintains the asset tracking database with current equipment information, location, and status.
• Tags and documents new equipment upon receipt and ensures proper tracking of retired or surplus items.
• Identifies and reconciles discrepancies in asset records.


Compliance and Reporting
• Ensures Fire Rescue remains in compliance with Fixed Assets policies and procedures.
• Coordinates with the Fixed Assets Department to provide up-to-date inventory reports and respond to audit requests.
• Leads the annual year-end audit with the Clerk’s Office, including review, tracking, and completion of the final year-end asset report.
• Enforces scanning compliance among crews and ensures apparatus equipment is properly accounted for.

Training and Support
• Trains and supports field crews in the proper use of RFID scanning technology.
• Provides logistical support during emergency operations and remains on-site as needed as an essential employee.
• Collaborates across departments as required.


Additional Responsibilities
• Learns procurement methods.
• Performs other duties as assigned.


KNOWLEDGE, ABILITIES AND SKILLS
Knowledge of:
• Asset tracking software and RFID systems.
• Microsoft Excel.
• Fixed asset compliance requirements.


Skills in:
• Accurate recordkeeping and database maintenance.
• Identifying and resolving discrepancies in equipment records.
• Coordinating with multiple departments.


Ability to:
• Communicate effectively with internal teams.
• Work independently with minimal supervision.
• Maintain accurate documentation.
• Remain on-site and provide support during emergency events.


MINIMUM QUALIFICATIONS
High school diploma or GED required.
Some college coursework in logistics, business, or public administration preferred.
Two (2) years of experience in logistics, inventory, or asset management.
Experience with RFID equipment tracking systems and Microsoft Excel.
Possession of a valid Florida Driver’s License.

Must be able to lift equipment and perform occasional field station visits.
Must be willing to remain on-site during emergency events as an essential employee.
Valid Driver’s license required; must obtain a Florida license upon employment. Must maintain a clean driving record to operate an assigned county vehicle.


SPECIAL REQUIREMENTS

Must obtain Federal Bureau of Investigations (FBI) Criminal Justice Information Services (CJIS) Security Awareness certification through the Florida Department of Law Enforcement (FDLE). Employees hired into this position must obtain this certification as a condition of employment.


All employees will be required to work before, during, or after an emergency. During an emergency, employees may temporarily be assigned to work and perform duties outside the normal scope of their position, location and work schedule to fit the needs of the County and its citizens.
