Team Overview and Job responsibilities
In this important position, you will report to a senior Executive Assistant and provide administrative support to high-level executives in an organization.
- Managing Correspondence: Handling incoming and outgoing communications such as emails, phone calls, and mail including handling sensitive information.
- Scheduling: Organizing appointments, meetings, and conferences for managers or teams.
- Data Entry and Record Keeping: Maintaining accurate records, updating databases, and filing documents.
- Office Organization: Managing office supplies, equipment, and maintaining a tidy workspace.
- Assisting with Projects: Providing administrative support for special projects, including research, coordination, and documentation.
- Travel Arrangements: Booking flights, hotels, and transportation for business trips.
- Customer Service: Assisting clients, visitors, and employees with inquiries or requests.
- Handling Expenses: Processing expense reports and managing invoices.
- Coordinating Communication: Acting as a liaison between different departments, teams, or individuals within the organization.
- Miscellaneous Administrative Tasks: Assisting with any other administrative duties as needed to support the smooth operation of the office.

Required Qualifications
- A minimum of 2-3 year's experience assisting C-Suite Executives
- Prior experience working with an international company, coordinating travel arrangements, maintaining various calendars, and helping ensure the business runs smoothly.
- Ability to work in office 5 days a week
- High school diploma or equivalent
- Experience working in a fast-paced environment
- Familiarity with office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools
- Excellent communication skills, both written and verbal
- Time management skills
Preferred Qualifications
- Associate or bachelor’s degree preferred
- Experience supporting high-level executives
- Knowledge of office procedures and equipment
- Proficiency with office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Concur) and other relevant tools preferred
- Ability to problem solve and exercise sound judgment in decision making
- Proactive and self-motivated attitude with the ability to take initiative and work independently
Work Environment/Physical Demands:
- Works out of a normal office environment with standard office equipment available.
- Extended periods of sitting or standing at a desk or workstation.
- Repetitive tasks such as typing, filing, and data entry, which may require dexterity and hand-eye coordination.
- Will be required to sit, bend, kneel, squat, use keyboard, read, write, and speak fluently.
- Employee will regularly be required to lift and carry objects of 5-10 pounds as needed.
- Employee will occasionally be required to lift and carry objects of 15-25 pounds as needed.
- Employee will be required to work productively and cooperatively in a high-volume, fast paced, highly pressured environment and be able to respond efficiently and courteously to unanticipated problems and crisis.
- This role is not typically exposed to adverse environmental conditions, except excessive eye strain.
- When travel is necessary, will be exposed to typical travel environment and surroundings.
