Responsible for providing professional support to the daily operations of CEO and other executive team members such as CFO, COO and CTO in a dynamic fast paced environment. Collaborates with the broader leadership team to ensure smooth operations and execution of key initiatives and assists with strategic planning.
- Manages complex and professional scheduling for CEO and senior executives, including meeting agendas, email, phone calls and client management while prioritizing urgent requests and ensuring efficient time management.
- Manage CEO and senior executives’ travel arrangements ensuring a seamless travel experience; travel arrangements include making hotel accommodations, transportation and meal. Prepares expense reports for reimbursement.
- Provide administrative and office support, such as drafting letters, emails, memos, reports, presentations, organizational charts and of filing systems and databases; schedules and coordinates meetings, conference calls and other events.
- Supports and assists with special projects, research, and analysis as needed.
- Liaison for communication between CEO, leadership team, employees and external executives and vendors.
- Maintain and refine internal processes that support senior level executives and coordinate internal and external resources to expedite workflow to improve processes and gain efficiencies..
- Other duties as assigned.
- Bachelor’s Degree strongly preferred but will consider a combination of education and experience
- 5+ years of experience as an administrative assistant supporting senior leadership in a mid-size organization
- Experience in a fast-paced, high-growth environment
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
- Excellent written and verbal communication skills
- Strong time-management skills and ability to coordinate multiple concurrent projects
- Ability to prioritize tasks and manage processes to deadline
- Ability to work independently
