Job Description

What we want

Works under general supervision and provides advanced administrative support work. Assists management in coordinating office support activities, including a bilingual hotline. Will also be responsible for assisting with the Learning Management System, which includes approving online accounts, helping educators throughout a course, and answering emails.

Qualifications

Required Education and Experience

  • High school graduation or any equivalent combination of education and experience

  • Three years of experience in general office or clerical work

Preferred Qualifications

  • Minimum of 2 years’ experience in customer service and multi-line phone handling

  • Bilingual in English/Spanish

Required Knowledge, Skills, and Abilities:

  • Microsoft Office: Word, Excel, Outlook, PowerPoint

  • Ability to effectively communicate both orally and in writing

  • Ability to positively and professionally interact with clients and staff

  • Excellent communication skills

  • Strong interpersonal and organizational skills

  • Ability to orally comprehend and express information and use inductive and deductive reasoning

  • Ability to positively and professionally interact with clients and staff, and groups of various sizes

  • Ability to multitask and work cooperatively with others

Responsibilities

General Administrative Support

  • General office duties include answering phone calls, taking messages, printing, and scanning

  • Serving as a first point of contact for local phones and Literacy Hotline calls in both English & Spanish, including literacy program referral and high school equivalency testing questions in support of a sponsored research program

  • Sorts and distributes incoming mail

  • Assist in keeping gathering areas neat

  • Assists with ordering and storing office supplies

Support Service to LMS System

  • Provide technical assistance and customer service to the LMS Administrator for the Professional Development Training Portal

  • Answer any portal questions through phone or email

  • Assist with the shared PD Portal email account

  • Provide technical assistance to online portal users

Updating Directory

  • Reaching out to programs within our online directory for updates

  • Recording responses and routing to appropriate staff members
