GENERAL DESCRIPTION:

 

This position is Administrative Support staff deployable to various program areas to provide administrative support including: registration, fee collection and eligibility, processing and managing charts, telephone management and medical records. Clinics where position may work includeCentral Intake, Family Planning, Sexually Transmitted Diseases, Tuberculosis, ImmunizationAdult Health, Maternal Health, Laboratory, Pharmacy, and HIV Testing and Counseling. All activities for receiving clients, collecting statistical and financial data, routing clients to providers, scheduling appointments and follow-up visits are handled by this staff.

 

 

DUTIES AND RESPONSIBILITIES:

 

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

 

  • Registers new patients in EPIC by collecting demographic information, verifying insurance, verifying financial eligibility, obtaining signatures indicating consent, and providing notice of privacy practices;
  • Schedules patient appointments in person and on the phone and gives instructions for the appointment day;
  • Collects patient fees, communicates account balances, maintains cash drawer, and turns in fees and appropriate reports to designee at the end of each day;
  • Answers phone assisting with patient needs, including directing patient to appropriate clinic/staff;
  • Provides administrative support to various clinical staff and supervisor as needed;
  • Assist with the creation of manuals, procedural documents, and forms for unit operations;
  • Assists the unit by reviewing eligibility, scheduling, and registration work; 
  • Demonstrates effective customer service and problem solving;
  • Assists the Processing Unit Supervisor with program audits and quality assurance measures;
  • Coordinates the distribution of the Customer Service Survey Questionnaire;
  • Performs other related tasks as required.
