What You’ll Do

  • Welcome clients and patients with warmth, confidence, and professionalism.
  • Manage a high volume of phone calls, route calls appropriately, and respond to voicemails promptly.
  • Schedule appointments and coordinate a busy, multi-doctor calendar efficiently.
  • Prioritize urgent scheduling needs appropriately and help optimize daily clinic flow.
  • Check clients and patients in and out while maintaining accurate information.
  • Collect payments, process invoices, and review estimates with clients.
  • Clearly communicate hospital policies, pricing, services, and next steps.
  • Address client questions and concerns with empathy and escalate issues when appropriate.
  • Confirm appointments and follow up with clients through calls, texts, and emails.
  • Help clients schedule recommended services, preventive care, and rechecks.
  • Maintain accurate follow-up lists and document client outreach in patient records.
  • Keep the front desk and lobby clean, organized, and welcoming.
  • Support teammates and help keep daily hospital operations running smoothly.

What You’ll Bring

  • Strong customer service skills and a passion for helping pets and their people.
  • Warm, confident, and compassionate communication skills.
  • The ability to manage a high volume of calls and multiple priorities while staying organized.
  • Confidence handling sensitive or difficult conversations with empathy and professionalism.
  • Comfort collecting payments, processing invoices, and discussing estimates with clients.
  • Strong attention to detail and a commitment to accurate documentation.
  • Problem-solving skills and a proactive, solutions-oriented mindset.
  • The ability to explain basic services, hospital policies, preventive care needs, and next steps clearly.
  • Familiarity with veterinary terminology and common appointment workflows is preferred.
  • Experience with veterinary practice management software such as AVImark, Cornerstone, ezyVet, or IDEXX Neo
