The Administration and Planning Division is responsible for managing and overseeing administrative and operational services for the agency. This includes the daily management of the Offices of Financial Management, Purchasing and Contracts, Operational Services, and Diversity and Inclusion.

The Office of Operational Services coordinates and directs all facilities-related operational support services for both public and privately leased properties agency-wide, including space planning, telecommunications, security, fire safety, health and safety, and fleet and transportation operations. The division also includes the agency warehouse, print shop, and mailroom operations.

The Customer Delivery Services Unit is seeking an organized and experienced professional to serve as a Mailroom Operations Supervisor coordinating delivery of agency packages and mail throughout DOF facilities.

Reporting to the Director of the Warehouse and Customer Delivery Services Unit, the selected candidate's responsibilities will include, but are not limited to the following:

- Manage the day-to-day operation of the mailroom, including sorting, distributing and processing incoming and outgoing mail, packages and courier services.
- Responsible for undelivered or misdirected mail, ensuring timely resolution and delivery
- Supervise 2 mailrooms and five staff, assign tasks, monitor performance, set operation standards.
- Responsible for evaluating and implementing improvements in mailroom operations, including researching
- and adopting new technologies, processes and system to enhance efficiency, accuracy and service delivery.
- Develop and maintain mailroom standard and operating procedures.
- Assess and monitor mailroom operations improvements and lead mailroom technology initiatives.
- Oversee the maintenance of all mailroom facilities, equipment and updates.
- Act as mail liaison to internal and external stakeholders and resolve issues.
- Ensure proper safeguards are in place to secure and deliver mail.
- Ensure compliance with citywide, agency rules and regulations.
- Prepare reports and presentations related to mailroom operation.

PRINCIPAL ADMINISTRATIVE ASSOC - 10124

Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
