The Assistant Property Manager supports the daily operations of the property by assisting with leasing, resident relations, collections, reporting, compliance, vendor coordination, and administrative functions. This position works closely with the Property Manager to ensure operational efficiency, strong occupancy performance, excellent customer service, and compliance with company policies and housing program requirements.

The Assistant Manager is expected to maintain a strong onsite presence, provide professional leadership to residents and staff, and support the overall financial and operational success of the community.

Essential Responsibilities

Leasing & Occupancy



Assist with all leasing activities including tours, applications, approvals, lease signings, renewals, and move-ins.


Maintain strong follow-up with prospects to maximize conversion ratios.


Support occupancy and resident retention goals.


Ensure all lease files and application documentation are complete and compliant.


Assist with marketing efforts, outreach, and online reputation management.


Monitor market conditions and competitor activity.



Resident Relations & Customer Service



Deliver professional and responsive customer service to residents, applicants, vendors, and guests.


Assist with resident concerns, complaints, and conflict resolution.


Maintain positive resident communication and engagement.


Support resident events and community initiatives as directed.


Enforce lease terms, community rules, and company policies consistently and professionally.



Collections & Delinquency Management



Assist with rent collections and delinquency follow-up.


Contact residents regarding balances, payment arrangements, and notices.


Support eviction preparation and court documentation as needed.


Maintain accurate delinquency tracking and reporting.


Monitor AR trends and escalate issues to the Property Manager promptly.



Administrative & Financial Operations



Process and track purchase orders and invoices in AppFolio.


Ensure invoices are coded correctly and submitted timely.


Assist with weekly, monthly, and variance reporting requirements.


Support bank deposits, ledger accuracy, and resident account auditing.


Maintain organized and audit-ready property records.


Assist with month-end closeout processes.



Compliance & File Management



Ensure compliance with Fair Housing regulations and company policies.


Assist with affordable housing, voucher, or PSH compliance requirements where applicable.


Maintain accurate resident and vendor documentation.


Prepare files for audits and inspections.


Monitor expiration dates for leases, insurance, permits, and required documentation.



Property Operations



Conduct property inspections and monitor curb appeal.


Coordinate with maintenance staff regarding work orders, unit turns, and resident concerns.


Assist with vendor coordination and scheduling.


Monitor office coverage and ensure professional office operations during business hours.


Support emergency response procedures when necessary.



Qualifications



High school diploma or equivalent required.


Previous multifamily property management experience preferred.


Leasing, collections, or affordable housing experience strongly preferred.


Knowledge of Fair Housing laws and landlord-tenant practices.


Experience with AppFolio or other property management software preferred.


Strong organizational, communication, and customer service skills.


Ability to manage multiple priorities in a fast-paced environment.


Proficient with Microsoft Office, Outlook, Teams, and general office systems.

Required Qualifications



High school diploma or GED required.


Minimum of 1 year of customer service, administrative, leasing, or property management experience preferred.


Strong verbal and written communication skills.


Professional appearance and customer-service-oriented attitude.


Ability to multitask and manage priorities in a fast-paced environment.


Basic understanding of office administration and financial processes.
