Your Specific Responsibilities:
Summary: The incumbent performs varied and diverse duties requiring basic knowledge of office management systems and procedures under the supervision Operations & Mgmt Consultant I. Responsible for the Medical Records Room duties may be assigned in accordance with office procedures and include a combination of client registration, scheduling appointments, answering telephones, bookkeeping, typing or computer processing, office machine operation, scanning and filing. Has good rapport with staff and clients, positive attitude, is flexible, approachable and accepts change readily as evidenced by lack of substantiated complaints/confrontations with staff and clients. Promotes the department as a positive caring community organization through courteous behavior toward all clients and co-workers. Adheres to established Health Department policies and procedures.
Provides day-to-day medical records support to a health center clinic by:
Clerical Duties
- Maintains, organizes, inspects, and files medical records and documents. Monitors records to ensure security and confidentiality. Inserts additional data on file records as necessary. Reviews records for accuracy and completeness, investigates discrepancies in records. Tracks and logs medical records utilizing the sign in/out system. Assures adherence of security policies by maintaining secured/locked medical records room/files during non-working hours. Ensures records are retrieved for the next day’s schedule and files records back daily. Receives, authenticates and processes records requests by telephone, fax, mail or in person. Responds via copies, faxes or registered mail. Authenticates medical requestor’s credentials. Ensures legal requests for records are properly verified. Maintains escort log and files fax-receipt verification documents into records.
- Places materials into storage receptacles, such as file cabinets, boxes, or bins, or drawers according to classification and identification information. Orients staff to medical records policies and procedures. Assists assigned staff in faxing official requests for documents (i.e. birth certificate, blue cards, etc.). Purges records following established schedules. Reviews and organizes medical records and performs data entry to close files according to established guidelines prior to archiving. Prepares document descriptions and reference aids for use of archives, such as accession lists, and cross-reference materials.
- Maintains proficiency with software applications/programs and other office equipment commonly used by the department (i.e. HMS, FMMIS, Outlook, Word, Excel, copier, shredder, fax, label maker, printer).
- Assists with Patient Registration duties as directed.
