Day to day, this role is responsible for overseeing the timely delivery of a portfolio of quality promotional medical education projects. This role establishes and maintains effective working relationships with internal and external stakeholders
To be successful in this role, experience in the promotional medical education agency industry, specifically in HCP-focused content development, advisory board meetings, product theaters, speaker training meetings, and KOL executive encounters, is required.
This role drives the overall project, including timeline milestones, owning or overseeing medical/legal/regulatory submission tasks, status reports, and recap development to management in a collaborative team environment.
Essential Duties & Responsibilities
- Managing various projects in terms of overall scope, developing plans/timelines/budgets, and driving projects from inception through delivery
- Anticipating client needs and proactively addressing those needs with appropriate stakeholders to ensure client satisfaction
- Working with account management, project, scientific, editorial teams, and external vendors by coordinating resources and ensuring appropriate support and communication, including but not limited to:
- Creating long- and short-term plans, including setting targets for milestones and adhering to deadlines
- Delegating project tasks to team members best positioned to complete them
- Serving as a point of contact for teams when shared services are in play to ensure team actions remain in synergy
- Performing quality control on projects throughout development to maintain the standards expected
- Adjusting schedules and targets on the project as needs or financing for the project change
- Working with the account and project team to ensure the delivery of each project relative to budget and the overall profitability of the account. In this role, you can independently reconcile tasks promptly
- Facilitate the reporting of financial records to the client regularly
- Oversee and quality check all financial tracking completed by the coordinator
- Supporting the Account/Project Teams in developing proposals/budgets to implement creative educational programs
- Developing and maintaining timelines and status reports for each project with internal and external stakeholders
- Managing ~15 concurrent projects, across 1-3+ accounts, depending on scope
- Managing all resources to balance the overall business objectives of the organization
- Collaborating with Project/Account Director to assist in the hiring process, delegate as appropriate, train and develop coordinators
Experience, Skills, and Qualifications
- Bachelor's degree
- 5 years of experience working on HCP promotional education projects in a medical communications agency.
- Complete and comprehensive knowledge of HCP promotional education projects
- Exceptional time management skills with the ability to prioritize and meet deadlines
- Ability to foster integration, collaboration, and teamwork among internal and external stakeholders
- Detail-oriented, articulate, creative, and positive demeanor when engaging with all stakeholders
- Adept at problem-solving and decision-making skills
- Excellent organizational and multi-tasking skills and strong attention to detail
- Possess a clear and complete understanding of evolving medical education policies, procedures, and guidelines
- Consistently network across projects/deliverables and make strategic recommendations for project efficiencies, workarounds, and challenges
- Ability to exhibit excellent judgment and communication skills while engaging with internal and external stakeholders
- Strive to become a valued resource to the client, HCP, and additional stakeholders
- Continuously and consistently assess, adapt, and meet client needs and expectations
- Understand FDA, AMA, and PhRMA Guidelines and State Regulations as they apply to all projects
- Proficient in MS365 including Word, Excel, PowerPoint, Outlook, Teams. Smart Sheets and SharePoint experience
