About the role
The TownePlace Suite Hotel is seeking a dedicated and versatile individual to join our team in a hybrid role as a Night Auditor and Front Desk Clerk. This full-time position involves working as a Night Auditor for two to three days a week and as a Front Desk Clerk for two days a week. The ideal candidate will be committed to providing exceptional customer service and ensuring the smooth operation of the hotel during both day and night shifts.
Qualifications:High school diploma or equivalent; hospitality or customer service certification is a plus.Previous experience in a similar role, preferably in the hospitality industry.Excellent communication and interpersonal skills.Strong organizational and multitasking abilities.Proficiency in computer systems, including hotel management software and Microsoft Office suite.Ability to work independently and as part of a team in a fast-paced environment.Flexibility to work shifts, including evenings, weekends, and holidays.Commitment to providing exceptional customer service and creating a positive guest experience.Knowledge of accounting operations, including accounts receivable and payable, is preferred.Excellent telephone etiquette skills.Ability to read, write, and speak English sufficiently to understand and communicate with employees and guests.
Key Responsibilities:
Front Desk Clerk Duties:Guest Check-In/Check-Out: Welcome guests upon arrival, process check-ins efficiently, and provide them with necessary information about their stay. Process check-outs accurately, collect payments, and issue invoices or receipts as needed.Reservation Management: Receive and process reservations via phone, email, or online booking systems. Verify guest information, update reservation details, and assign rooms based on guest preferences and availability.Customer Service: Assist guests with inquiries, requests, and complaints promptly and courteously. Provide information about hotel facilities, services, and local attractions.Telephone and Email Correspondence: Answer incoming calls, take messages, and respond to emails in a timely manner. Provide accurate information and assist with reservations or special requests.Cash Handling and Accounting: Handle cash, credit card transactions, and guest folios accurately and securely. Balance cash drawer at the beginning and end of each shift, reconcile payments, and prepare daily reports.Guest Services Support: Assist guests with luggage, transportation arrangements, and other concierge services as needed.Safety and Security: Maintain a safe and secure environment for guests and staff. Monitor surveillance cameras, report any suspicious activity or safety hazards, and follow emergency procedures in case of incidents.Administrative Tasks: Perform various administrative duties, including filing, photocopying, and data entry. Update guest records and maintain reservation logs.
Night Auditor Duties:Prepare Daily Reports: Prepare daily restaurant revenue report data by auditing Micros tapes/journals. Input revenue, expenses, and allowances into the system to generate daily reports.Run Audit Reports: Run audit reports and journals, make corrections and adjustments, and handle computer problems that might occur during the shift.Balance Accounts: Balance all revenue and settlement accounts nightly, maintain files, and reset the system for next-day operations.Review Discrepancies: Review and correct discrepancies in the front desk system.Coordinate with Staff: Coordinate with the front desk and restaurants/bars closing to facilitate smooth file maintenance and reset of system totals.Guest Interaction: Greet customers immediately with a friendly and sincere welcome, listen to understand requests, respond with appropriate action, and provide accurate information about hotel facilities and local attractions.
Physical Requirements:Must be able to sit, stand, and walk for long periods of time.Light work – exerting up to 30 pounds of force occasionally, and/or up to 25 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
