Project Management Specialist and Travel Coordinator

The Opportunity: 

When an organization has multiple moving parts in its processes, it can be difficult to critically examine them. To be more efficient and effective, it needs a business process specialist to learn its business end-to-end and provide ways to change for the better. That’s why we need you, a business process specialist who can learn how to analyze every aspect of your client’s operations and give them the steps to improve their processes.

As a business process specialist on our team, you’ll help analyze your client’s current operating environment and identify areas for improvement. You’ll participate in discussions with leadership and support staff that will help refine your client’s definition of success and identify current frustrations. You’ll assist with designing data collection plans, facilitating workshops, and communicating the team’s research and illustrative analysis to help establish understanding and agreement from key stakeholders.

You Have: 

  • 3+ years of experience in working with federal and agency policies governing foreign, domestic, local, and sponsored travel and coordinating executive-level travel arrangements, including preparing travel orders and vouchers

  • Experience in providing a wide range of administrative services to senior clients, assisting with the planning and coordination of executive-level meetings and conferences, managing an active calendar of appointments, coordinating multiple projects, and serving as a liaison to external clients

  • Knowledge of federal and agency policies governing foreign, domestic, local, and sponsored travel, procurement, and travel systems and prepare complex and detailed travel plans, itineraries, agendas, and reports, including expense reports

  • Knowledge of Microsoft Word, Excel, Teams, and PowerPoint

  • Ability to work with NIH procurement and travel systems

  • Ability to work independently and with limited guidance, work in a fast-paced environment and under the pressure of deadlines

Nice If You Have: 

  • Experience in working with the NIH and their mission, programs, and organization

  • Experience with supporting contracting work, providing general administrative support, assisting in the coordination, program planning, scheduling of meetings, and activities, and submitting Help Desk tickets to remediate IT or phone or communications issues

  • Experience with setting up and coordinating remote and live meetings and events for the office, querying for attendees’ schedules, reserving conference space, ensuring that rooms, WebEx, and other communication applications, including Zoom, Skype, and Teams, or conference lines are set up correctly and all materials are available for the meeting, making name badges, sign-in sheets, and other ways to account for attendance, taking meeting notes, documenting major meeting findings or actions, and providing meeting minutes

  • Knowledge of file maintenance processes, work according to the internal policies and principles of government teams, create spreadsheets, word documents, slides, and other documents, ensure the successful execution of projects, provide updates on project progress, and ensure that projects stay on task and reach goals and objectives

  • Ability to serve as a liaison to other contractors and clients and coordinate with, and act as a back-up to other program support assistants

  • Ability to coordinate day-to-day office operations, including organization and prioritizations of tasks and responses through verbal and written communications and read and prioritize email communications and office tasks

  • Possession of excellent verbal and written communication

  • Bachelor’s degree in Health Policy, Human Resources, or a related field preferred; Master's degree in Health Policy, Human Resources, or a related field a plus
