About the role
Description
The Accounts Receivable Specialist I is responsible for compiling amounts owed to the company for Knight’s customers, entering figures into the accounting system, and generating customer invoices in an accurate and efficient manner.
Essential Functions:
- Prepares and distributes invoices for Knight’s customers, verifying that they comply with organizational policies and accurately reflect charges incurred.
- Reconciles amounts due by comparing invoices to POs or other records.
- Enters invoice amounts into the accounting system, processes, and mails invoices once approved.
- Responds to inquiries and researches and resolves concerns or discrepancies from customers in a pleasant and respectful manner.
- Generates and sends out Notices of Intent to Supply forms for necessary jobs.
- Process credit card and COD payments for customers when requested.
- Forwards customers to the Credit and Collections Specialist to resolve collection issues when necessary.
- Provide backup to the Front Desk Receptionist as needed.
- Adheres to all applicable company policies and procedures.
- Performs other duties as assigned
Requirements
- High school diploma or equivalent.
- Minimum of one-year related experience in a manufacturing or distribution industry.
- Proficient in using a computer and Microsoft Office (Outlook, Word, Excel).
- Effective oral and written communication skills, with an emphasis on utilizing persuasive communication skills while providing excellent customer service.
- Experience utilizing accounting software, preferably Integra / Systec and File Maker.
- Experience working in manufacturing or construction industry preferred.
- Ability to be self-motivated, proactive and an effective team player.
- Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others.
Physical Demands:
- Able to safely lift a minimum of 10 lbs.
- Able to speak and hear.
- Able to use hands to finger, handle or feel; and reach with hands and arms.
- Able to sit for long periods, stand, walk, type, carrying, pushing, and bending.
- Able to work primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning.
