Your New Role…
We are seeking an experienced and highly organized individual to provide support to the VP of Studio Services & VP of Studio Operations. This position will be responsible for maintaining calendars, scheduling meetings, answering telephone calls, processing business expenses, booking travel, creating presentations, managing reports and projects, and handling other administrative duties as required.   This position will rotate workstation environments to evenly distribute workload and maintain consistent integration in both departments.

Your Role Accountabilities…

  • Arranging executive calendars and scheduling meetings, independently or as directed.  Answering telephones, logging and placing calls. Maintaining contact databases. Performing clerical duties such as typing, photocopying, and filing.  Occasionally accompanying VP to on-lot meetings
  • Tracking and processing monthly corporate card expenses and reimbursements through SAP Concur. Booking executive travel arrangements on Amex GBT
  • Maintaining department-wide Vacation and Sick Calendar and tracking management responses to make sure time-off approvals occur in a timely manner
  • Distributing appropriate charts and production schedule updates to fellow WBSO departments and Senior Management detailing short term and long-term production updates
  • Creating slide decks and presentation templates for Bi-Monthly and Quarterly executive meetings
  • Coordinating department special events and large-scale meetings including arranging catering, managing excel lists of attendees and providing day-of, on-the-ground logistical support
  • Processing on-boarding of new-hires (requesting emails, MediaPulse account, phone changes, building access, computer, ordering business cards etc.)
  • Maintaining a wide variety of digital department records including confidential staff information and detailed productions schedules
  • Serving as an alternate to Manager/Director in preparation of Studio Lease Agreements and Deal Memos for productions utilizing stages or back lot locations
  • Tracking/compiling financial period reports
  • Assisting with organizing, categorizing and compiling of procedural/training materials
  • Assisting with compliance reporting/equipment tracking
  • Organizing and maintaining project files, at times assisting with taking project meeting notes and providing status update and action item notes following meetings.

Qualifications & Experience…

  • 3-5 years of experience providing administrative support to one or more executives in a fast-paced, multi-project environment
  • Previous experience doing logistics coordination a plus (production assistant, logistics coordinator, etc.)
  • Project organization and presentation skills a plus.
  • Previous studio experience strongly preferred.
  • High School diploma required.
  • Some college work preferred.
  • Excellent computer proficiency and advanced knowledge of Microsoft Outlook, Word, Excel, PowerPoint, as well as applications such as Zoom, Microsoft Teams and Adobe Suite, Photoshop
  • SAP & Xytech knowledge, preferred
  • Excellent communication skills (written and verbal)
  • Must have the ability to maintain confidentiality.
