Purpose
The University of Texas at Austin Procurement Services team is seeking a paid summer intern to support administrative innovation and process improvement using artificial intelligence tools, including Claude Coworker and similar AI-enabled platforms. This internship will focus on two high-impact areas: supporting policy and compliance analysis by comparing applicable government requirements with current operational practices and improving intake and workflow management for procurement-related requests.
This role is ideal for a student who is interested in AI applications in business operations, process design, public sector administration, procurement, compliance, and workflow automation. The intern will work closely with Procurement Services staff to evaluate current processes, identify opportunities for improvement, and help design practical solutions that increase efficiency, consistency, and compliance.

Responsibilities
AI-Assisted Policy and Compliance Review
- Review relevant federal, state, and institutional policies, requirements, and guidance that apply to Procurement Services operations.
- Use AI tools, under staff guidance, to help organize, summarize, and compare policy requirements.
- Compare current Procurement Services operational processes against applicable requirements to identify possible gaps, inconsistencies, or compliance risks.
- Help develop a structured inventory or matrix of requirements and corresponding operational practices.
- Support the team in identifying priority areas for risk mitigation, process clarification, or operational improvement.
- Document findings in a clear, organized format suitable for internal review.
Intake and Request Management Solution Development
- Review current methods for receiving and managing procurement-related requests through shared inboxes or other intake channels.
- Help design and document a process for identifying, categorizing, and logging incoming requests.
- Explore how Claude Coworker and similar AI tools could support intake triage, request summarization, response drafting, task routing, and tracking.
- Assist in developing a proposed workflow that would:
- o identify requests received in an inbox,
- o log requests into a tracking system,
- o determine the type of action needed,
- o support preparation of a response,
- o and track the request through completion.
- Evaluate options for creating a repeatable and scalable request-tracking approach.
- Prepare recommendations, process maps, and implementation concepts for team review.
Additional duties:
- Participate in meetings with Procurement Services staff and stakeholders.
- Assist with process documentation, presentations, summaries, and project updates.
- Conduct research on administrative process improvement, workflow tools, and responsible AI use in operations.
- Perform related duties as assigned.
