About the Role
As the IP Data Coordinator II, you will support the IP Team within the Legal and Compliance Department with complex administrative duties, including coordinating presentations, performing data entry, data auditing, preparing complex IP-related reports, performing data analysis, and providing other support with IP processes as needed.
Your Team
This position will report into the Manager, IP Operations, within the IP Team of the Legal & Compliance Department.
What You Will Do
- Supporting members of the in-house IP Team in phases of reporting out on HARMAN’s IP matters and asset portfolio, taking into consideration business objectives, goals, and strategy
- Providing support for team meetings, including preparing agendas, taking notes, distributing meeting minutes and presentations, tracking action items and communicating status.
- Assisting with coordinating large volumes of information and preparing various presentations, tables, and charts for executive-level review and external reporting. Performing complex office tasks, such as data entry, maintaining and updating records, and auditing information in various software programs.
- Creating, maintaining, auditing, and entering information into the Anaqua IP portfolio management system.
- Running complex reports from databases and coordinating, auditing, and reporting, in compliance with data quality standards and requirements of a database.
- Managing the workflow of the Invention Disclosure submission and review process, to ensure ideas are being considered for IP protection.
- Assisting attorneys and paralegals with complex projects as needed.
What You Need
- 2-3 years’ experience working with Intellectual Property matters, in particular with Patent prosecution matters.
- 2-3 years’ experience working in a professional office setting, preferably in a corporate legal department or law firm, managing numerous projects simultaneously in a fast-paced environment.
- High proficiency in the use of Microsoft Office programs, including Excel and PowerPoint, and experience working comfortably in databases. Experience producing graphs and charts required.
- Experience working within IP databases, especially docketing and/or reviewing IP due dates.
- A command of business and legal terminology required.
- Desire to learn more about IP, HARMAN’s products, and business processes, and to develop a working knowledge of the company’s business and/or the specific function or business of primary responsibility.
- Detail-oriented, excellent organizational skills, and ability to meet deadlines and prioritize workload and work in a fast paced environment.
- Excellent oral and written communication skills, including good interpersonal and change management skills.
- Ability to work independently as well as closely with team members on group projects, to take direction, and to provide feedback when necessary, including voicing ideas, opinions, or concerns during team meetings.
What is Nice to Have
- Experience with presenting to small audiences
- Docketing IP-related due dates
- Experience with the following software programs preferred: Anaqua IP Database, Thomson Legal Tracker e-billing database, QlikSense, Microsoft Teams, Microsoft Project.
- Contract management systems, litigation legal hold systems, and/or entity management systems a plus.
- Some college preferred.

- Be willing to work in an office, and occasionally remotely, based out of Novi, Michigan.
