About the role

ICF seeks a Project Coordinator to support its Child Welfare and Adult Education (CWE) portfolio, including the Child Welfare Capacity Building Center for States (Center for States) contract with the Children’s Bureau. CWE provides a variety of services and strategies on behalf of and to federal, state, and local clients. Services seek to support child welfare and juvenile justice agencies, and others, to strengthen and improve their programs. Projects provide direct technical assistance (TA) and capacity building services, as well as knowledge management/transfer on topics that cover the full spectrum of child welfare and juvenile justice programs. The Center for States' purpose is specifically to support and enable child welfare agencies across the country to build on and expand their capacities to serve their communities and to keep children safe and families strong. The Center helps advance the Children’s Bureau’s priorities around shared decision-making with individuals with lived experience, racial equity, and providing prevention-oriented services to help all families thrive.

As the Project Coordinator your primary role is to provide crucial support to project teams and leadership involved in various projects and technical assistance efforts. The ideal candidate possesses excellent organizational, time management, and coordination skills, coupled with a proactive eagerness to learn, ability to successfully manage competing priorities, engage with diverse groups, and demonstrate flexibility.

This is a fully remote position where candidates must reside and work in the U.S. Candidates will not be able to work from other countries even in a temporary capacity.

Key Responsibilities

  • Develop project management documents such as project schedules, scopes of work, and project plans.

  • Execute project management administrative and bookkeeping tasks such as managing consultant invoices, supporting the project sponsor or project manager, forecasting and estimating level of effort, taking meeting notes, scheduling project meetings, developing meeting agendas, and other administrative tasks required by the project sponsor or project manager.

  • Develop project reports and/or assist in larger reporting activities required by the Children’s Bureau.

  • Meet with project sponsors to assess their needs and define project requirements, acceptance criteria, and project timelines.

  • Coordinate the allocation of project resources to ensure the project team has what’s needed at the right time.

  • Assign tasks to team members and help them understand what’s expected from them in terms of project milestones and deliverables.

  • Be the liaison between the project team and project stakeholders throughout the project life cycle.

  • Help project managers monitor project progress and team members’ performance and provide updates to project stakeholders.

  • Foster cross-team collaboration to help project team members complete project tasks and produce deliverables.

  • Track project progress in Smartsheet or other project management software

  • Communicate effectively in a professional, respectful, and timely manner, prioritizing clear and efficient information exchange.

Basic Qualifications 

  • Bachelor's or associate degree

  • 2 years of experience in project coordination

  • Experience with project management tracking tools

Preferred Skills

  • Experience using Smartsheet, Monday.com, Asana or Microsoft Planner

  • Knowledge and experience in executing and improving processes 

  • Demonstrated ability to communicate effectively and collaboration with other team members
