Position Overview:
The administrative assistant for the Office of Park Planning facilitates essential administrative functions within the section of the Florida State Park System that develops land use plans, conducts public engagement, and evaluates proposals for variant uses of parklands.
Detailed Description of Responsibilities:
• Typical work products of this position may include spreadsheets, project timelines, memoranda for internal and external distribution, etc.
• This position ensures that all staff of the Office of Park Planning are outfitted with the appropriate office supplies, IT equipment, and essential items. Additionally, this position may coordinate with vendors that support the functions of the office.
Required Knowledge, Skills, and Abilities:
Knowledge of:
• Bookkeeping principles, practices, and procedures.
• Standard business formats and styles for letters and professional documents/forms.
• General office procedures and practices.
• Principles and techniques of effective verbal and written communications.
Skill in:
• Building and maintaining spreadsheets for the purposes of office financial tracking/management.
• Composing formal letters for business correspondence.
• Monitoring due dates and deadlines to assist office staff and leadership.
• Conducting phone calls to provide essential information and connect points of contact.
• Proofreading
Ability to:
• Communicate clearly in writing.
• Organize files and records (paper and digital).
• Solve administrative problems.
• Work independently.
• Establish and maintain effective working relationships with others.
• Use correct spelling, punctuation, and grammar.
• Type letters, memoranda, and other standard business forms in correct format.
• Arrange travel details for staff, e.g., transportation, lodging, budget, itinerary, etc.
Minimum Qualifications:
• Effective communication – verbally, in writing, speaking, and through graphic presentation.
• Maintain a valid driver license.
Position of Special Trust Requirement:
This position is designated as a Position of Special Trust in accordance with DEP Directive 422, Positions of Special Trust or Responsibility. Successful completion of background screening will be required for this position.
Preferred Qualifications:
At least two years of experience supporting an office in administrative support functions.
Pay:
$19.00 - $23.00 per hour
