Clinical Services Coordinator
Part Time, 20 hours/week. Flexible days.
Hybrid possible after 90 day onsite probationary period
The Clinical Services Coordinator is a key member of the assigned department or division. The Clinical Services Coordinator is responsible for managing the comprehensive credentialing and enrollment processes for the Heart Center, ensuring compliance with, state, federal, and accrediting agency requirements. This position provides critical support to the Heart Center Administrator and Director of Credentialing by processing initial and re-credentialing applications, and maintaining complete, accurate, and current practitioner files.
Min Quals:
High School Diploma required
Bachelor’s Degree preferred;
4+ years of related administrative experience required. A combination of education and experience will be considered in lieu of either area. (Experience in Admin, Healthcare, Customer Service strongly preferred)
Extensive knowledge and experience working with Microsoft applications
Excellent leadership, organizational and analytical skills, ability to work with teams, strong written/verbal communication.
Ability to work independently and exercise good and professional judgment.
Knowledge of medical terminology and medical education programs, preferred.
Experience in an Academic Medical Center, preferred
Job Duties:
1. Works with providers, division administrator and hospital personnel to develop an organized scheduling process for the patients of a particular subspecialty and across interdisciplinary teams.
2. Acts as the primary resource for problem solving for providers and Division Administrator for the Division. Identifies goals and objectives for performance improvement projects in order to provide the best patient care, optimum customer service and improve physician satisfaction.
3. Serves as point of contact for referring physician practices and works with them to resolve issues related to new patient referrals/scheduling.
4. Maintains knowledge of benefit eligibility, provisions and precertification needs as required by payers. Works with appropriate individuals to ensure that all necessary approvals and clearances are received for coordinated care.
5. Works with administrative staff and Division leadership in the development, coordination and promotion of Department events and meetings.
6. In conjunction with Division Leadership, monitors overall progress of the department and supports appropriate action to address questions or concerns. This can include regulatory requirements, quality improvement projects, and volumes for the department.
7. Maintains a clinical database on subspecialty patients and assures proper information is being collected and stored.
8. Works with Division leadership to conduct routine needs assessments for the Division. Builds and maintains relationships with development partners. Reviews funding proposals and stewardship reports for donors, the Foundation, or external funding sources.
9. Completes agendas, minutes, correspondence, and distributes materials to appropriate individuals.
10. Maintains division-specific content for Divisional website (Lurie and NU) and works with appropriate departments to update content routinely. Collaborates with Marketing to create and distribute marketing/promotional materials.
11. When applicable, assists with all aspects of the Advanced Fellowship, including recruitment, in coordination with the Education Coordinator. This would include supporting the educational programs in onboarding, maintaining and exiting all students/trainees related to the respective division.
12. Provides editorial assistance for abstract, poster, manuscript and presentation preparation.
13. If applicable, assists faculty and research staff members to operationalize research studies within the Clinical Division. Acts as a central resource for research staff in regards to the division.
14. Other job functions as assigned.
