About the role

Position Summary:

The Small Business Development Center (SBDC) provides business consulting and training/educational services to start-up and existing businesses throughout the five-county area designated as Colorado Planning Region 9. The Business Manager position is a multi-faceted position, splitting time between office management, client management and grant reporting. This position will take the lead on overseeing the ARPA-SLFRF program execution at the Southwest SBDC.

Job Description:

Essential Functions and Responsibilities:

Client Management 

  • Scheduling clients who contact the office by phone, email and in person, for appointments with the Director and other business advisors through the Business Advisor Network.  This includes: 
  • Initial client communication 
  • Screening 
  • Intake 
  • Scheduling 
  • Regular Follow-up communication 
  • Impact collection 
  • Client success story reporting 
  • Connect business owners impacted by COVID-19 pandemic with no- or low-cost SBDC resources (e.g., consulting, training) to aid in recovery and resiliency.
  • Coordination of input into our customer management database (Center IC) of client sessions, training event attendance, etc.  Enters each client as needed into Center IC, sends Request for Counseling Questionnaires (RFCs) to clients to complete, and forwards RFCs to Director for review and advisor assignment.  Once advisor assignment has been made, contact client and advisors to set up appointments.  
  • Confirms appointments with advisors and clients, preparing and filing client file paperwork. 
  • Initiates regular follow up communication with clients. 
  • Inputs client sessions into Center IC as needed. 
  • Follows client success for impact collection and success story generation. 

 Advisor Time/Grant Funding 

  • Assists with preparation of grant approval and project data sheet forms submittal to Director, and once approved, submits for routing thru the FLC Grant Approval System.  
  • Assists with training of Business Advisors on how to submit time sheets and input client counseling sessions into center IC for paid and In-kind reporting. 
  • Collects and updates all advisor paperwork as required by FLC & LEAD Center for payment and certification/audit purposes (agreements, confidentiality, client lists, SBDC Modules for Certification, etc.). 
  • Creates and maintains spreadsheets for grants to input expenses, checks each invoice and session in Center IC, and assigns expenses to appropriate grant prior to check request submission. 
  • Pulls reports from Center IC and backup documentation to report grant spending for each specialty grant for quarterly submission. 
  • Tracks and submits quarterly reports on paid advising time for each advisor. 
  • Tracks Advisor In-Kind time and completes quarterly reports to the Director. 
  • Prepare Advisor In-Kind time reports for Enterprise Zone Tax Credits and submits to the Director for approval annually.  This includes developing documentation, processing for signature approvals, etc.   
  • Special Grants Tracking and Projects (assigned by the Director.) 

General 

  • Reallocates P-card transactions – P Card book maintenance and submission at end of FLC fiscal year. 
  • Processes Check Requests, travel requests, deposits, and other financial transactions such as trainee payments for services and submits to Director for approval. 
  • Develop and update training resources, templates, tools, etc. on applicable, including ARPA/SLFRF program requirements.
  • Assists with training and supervises students and other workers. 
  • Assists with organization and staffing of meetings of the SBDC Regional Advisory Board, Business Advisor Network, Annual SBDC Holiday Reception, etc., that includes organization, presentation creation, catering, materials, and report creation. 
  • Assist Executive Director with planning and execution of small business trainings and events.
  • Assist Executive Director with marketing/social media as needed.
  • Demonstrates a commitment to diversity, equity, inclusion, and student success, as well as working with broadly diverse communities.
  • Maintains knowledge and awareness of digital accessibility including the American with Disabilities Act and Section 508.
  • Produces and remediates digitally accessible materials in accordance with FLC standards.
  • Perform other duties as assigned

Required Education, Specialized Skills and Experience:

  • Bachelor’s degree or four years of related work experience
