The University of Tennessee Foundation, Inc (UTFI) invites applications and nominations to fill the position of Talent Management Administrative Coordinator. Reporting to the Director of Talent Management, the Talent Management Administrative Coordinator is responsible for supporting the administrative transactional functions supporting the life cycle of employees in UTFI.
Top candidates will be comfortable managing multiple, methodical tasks, exercise a high degree of professionalism and confidentiality, and have the ability to pay close attention to detail. In conjunction with the Advancement Assistant III, this position will serve as the primary front desk reception position for the Central Services location of the Foundation.
Job responsibilities include, but are not limited to:
Talent Acquisition: Coordinate the logistics of all new talent searches, including partnership with internal staff to organize and manage searches, candidate scheduling, and candidate expense/reimbursement processing. Ongoing communication with candidates to ensure a positive candidate experience through status updates and notifications.
Onboarding & Offboarding: Schedule appropriate onboarding training with the Assistant Director of Talent Management, collaborating with the hiring department and others as appropriate. Ensure introductory review notices have been sent by reviewing the automated transactions in Smartsheet. Provide necessary documents for onboarding and offboarding processes, including but not limited to notebooks and welcome letters for new hires, VolCard instructions, building access, new hire apparel, and exit forms as needed.
Data Entry & Document Management: Data entry related to talent acquisition, hiring staff (regular, temp, students) and termination or retirement entry.
General Administrative Support: Provide general administrative support to other staff in the finance and operations areas as needed.
Required Education and Experience
The candidate who fills the Talent Management Administrative Coordinator position is required to have:
- High school diploma and 4+ years of office experience OR Associate’s/technical school degree and 3+ years of office experience
- Excellent written and oral communication skills
- Demonstrated ability to be flexible and work well as part of a cross-functional team
- Strong organization and prioritization skills
- Ability to manage time and work independently
Preferred Education and Experience
In addition to meeting the required qualifications, the preferred candidate will have:
- Strong collaboration skills
- Proficient with latest versions of Microsoft Office (Visio, Word, Excel, and PowerPoint)
- Experience with Oracle ERP/HCM (DASH) and Smartsheet
- Strong attention to detail; commitment to maintain confidentiality with sensitive information
- Ability to represent the UT Foundation with professional appearance and demeanor
