Position Overview:

This position serves as an essential point of organization, communication, and operations for both the Department of Athletics and the school store. The role includes a dual-reporting structure, reporting to both the Director of Athletics and the Director of Auxiliary Programs. The individual in this role must be detail-oriented, organized, positive and flexible, with the ability to manage multiple systems and responsibilities simultaneously in a dynamic school environment.  This is a 12 month, full-time position.  

Primary Responsibilities:

Athletics Office:

  • Maintain and manage the student information system (SIS) and website platforms for the Athletics Department. The School currently uses Veracross and FinalSite.

  • Bulk upload and update all team schedules to the SIS each season.

  • Oversee the coordination of senior days/nights, including working with coaches to schedule events and collecting recognition remarks.

  • Manage annual conference paperwork and registration for the League of Independent Schools (LIS) and Virginia Prep League (VPL).

  • Coordinate transportation logistics for athletic and school-wide events, communicating regularly with the fleet manager and drivers and providing bi-weekly trip schedules.

  • Post seasonal announcements to the athletics website and assist with content updates.

School Store:

  • Oversee the daily operations of the school store, ensuring a welcoming and organized environment.

  • Handle all transactions using the point-of-sale system and maintain accurate financial records.

  • Monitor and manage inventory to ensure proper stock levels and timely reordering.

  • Update website with current items available for sale.

  • Design and maintain an appealing store layout and merchandising.&
  • Build and implement a volunteer staffing program that includes students, parents/guardians, and alumni.

Qualifications:

  • Excellent communication, organizational, and interpersonal skills.

  • Strong attention to detail and ability to manage multiple priorities.

  • Comfortable with point-of-sale systems, inventory management, and basic financial record keeping.

  • Ability to work collaboratively across departments and with a variety of school community members.

  • Flexibility to work occasional evenings and weekends for games, events, or store hours.
