About the role

The Director of Enrollment Management is responsible for ensuring consistent, timely, and strategically aligned admissions and discharge practices across May programs. In partnership with Operational Vice Presidents and Program Directors, this role develops, implements, and monitors admissions and discharge policies and practices to support appropriate placements, efficient census management, and long-term organizational strategy. The position drives alignment between admissions, program leadership, and marketing; establishes key metrics, monitors trends, and represents May externally with referral sources.

Core Responsibilities:
Admissions
• Partner with Vice Presidents and Program Directors to develop, refine, and implement admissions and discharge policies and practices that are consistent, equitable, and aligned with organizational strategy.
• Collaborate with the VP’s, PD’s, and Clinical leadership to standardize admissions criteria, intake and documentation requirements.
• Ensure admissions and discharge policies are applied consistently across all programs.
• Ensure appropriate admissions are not delayed or declined unnecessarily.
• Monitor admissions timelines and intervene when processes stall or deviate from expectations.
• Lead regular reviews of referrals and discharges with Program Directors and relevant operational leaders to identify trends, systemic barriers, and opportunities for improvement.
• Ensure admissions and discharge decisions align with program capacity, student needs, and census targets.

Demand Forecasting & Capacity Planning
• Develop short- and long-term forecasts for referrals, admissions, and census by program and service line.
• Partner with operational and executive leadership to identify capacity constraints and risks to census performance.
• Provide demand and census data to inform strategic planning, growth initiatives, hiring, and resource allocation.

Performance Review & Accountability
• Meet weekly with each Program Director to review admissions activity, census performance, and pipeline metrics.
• Lead data-driven discussions to identify performance gaps, trends, risks, and action steps.
• Ensure accountability for admissions pacing, decision quality, conversion, and pipeline management.
• Elevate systemic issues, capacity risks, and strategic insights to senior leadership.

KPIs, Dashboards & Analytics
• Develop and own key performance indicators (KPIs) related to:
◦ Referrals, admissions, and declines
◦ Time-in-stage through the admissions pipeline
◦ Census, capacity utilization, and discharge trends
◦ Marketing pipeline performance and referral quality
• Design, develop, and maintain dashboards that provide real-time and trend-based visibility across programs.
• Ensure consistency in data definitions, reporting standards, and performance metrics organization-wide.

Conversion & Attrition Analysis
• Analyze referral conversion rates and identify drivers of acceptance, decline, and delay.
• Monitor early discharges and attrition trends to assess admission fit and program readiness.
• Partner with Program Directors and VPs to identify root causes and recommend improvements to admissions decisions, intake processes, or program alignment.

Marketing Partnership
• Partner closely with the Marketing department to:
◦ Execute targeted marketing campaigns aligned with program and census needs
◦ Track campaign performance through the full admissions pipeline
◦ Analyze the effectiveness of marketing efforts on referral quality, admissions conversion, and census
• Use admissions and census data to inform marketing strategy and investment decisions.

Referral Source Strategy & Portfolio Management
• Analyze referral sources by volume, conversion, fit, and census outcomes.
• Identify high-performing and underperforming referral relationships.
• Inform targeted outreach, relationship management, and marketing priorities based on referral performance data
• Develop account-level plans with Marketing for highest-priority referral sources, tracking engagement and outcomes in the CRM.

Process Improvement & System Optimization
• Own continuous process improvement development for the admissions lifecycle, with a focus on reducing cycle time and eliminating bottlenecks.
• Identify operational and systemic barriers impacting admissions efficiency.
• Serve as the business owner for admissions and pipeline systems and tools, partnering with IT and other teams to optimize functionality, data integrity, and reporting (without direct IT responsibility).
