The Hutchinson Institute for Cancer Outcomes Research (HICOR) is a multi-disciplinary research institute within Fred Hutchinson Cancer Center whose mission is to reduce the human and economic burden of cancer. HICOR faculty conduct research in screening, implementation science, quality of care, health care delivery, health disparities and health policy.
The National Cancer Institute (NCI) has launched the Cancer Screening Research Network (CSRN) to evaluate emerging technologies for cancer screening. The CSRN will conduct rigorous, multi-cancer screening trials in a variety of settings with the ultimate goal of reducing cancer-related illness and deaths. Fred Hutch serves as the coordinating and communications center (CCC) and the statistics and data management center (SDMC) for the CSRN with communications being managed by HICOR. This position will reside within HICOR and directly support the CSRN CCC activities as a key member of the communications team.
The Administrative Coordinator provides administrative support with courtesy and diplomacy and with timely completion and report out of work assignments. Under direction from the HICOR Manager, independently perform a variety of administrative assignments in support of the CSRN coordinating and communications center and broader HICOR team. General responsibilities include meeting coordination, purchasing, and supporting the production of CSRN media materials for print, webpages, social media and video.This role works closely with other members of the CSRN Communications group as part of a high-performing administrative team working in collaboration to provide exemplary support.
Responsibilities
- Professionally represent HICOR to external and internal collaborators. Provide administrative support in a courteous, professional and collaborative manner with timely completion of work assignments. Track and pro-actively communicate task and project status to colleagues.
- Maintain positive and productive working relationships with CSRN Investigators and staff.
- Schedule, organize and attend CSRN meetings (approximately 10-12 per month). Compile and distribute meeting materials and notes, archive meeting materials in SharePoint, and coordinate technical support, room requirements and follow-up action items.
- Coordinate all aspects of travel, including flight, hotel, necessary documentation (disclosure, copyright, video release and other forms) and reimbursements. Ensure that travel is appropriately charged and compliant with organizational policies.
- Assist with setting up and negotiating vendor contracts for meetings, CSRN activites and media production.
- Perform detail oriented administrative duties to include drafting correspondence and helping to prepare CSRN media content, documents and PowerPoint presentations. Proofread and edit for spelling, grammar, and layout to ensure accuracy, design continuity and appearance of final documents.
- Coordinate all aspects of large, in-person meetings and events for the CSRN. Responsible for compiling the agenda, arranging speakers, travel and reimbursements, coordinating technical support, room requirements and catering.
- Maintain content on CSRN internal and external webpages.
