The School of Science, Technology, Engineering, and Mathematics (STEM) is looking for a talented and organized Lead Administrative Assistant to be the go-to person supporting our Dean, faculty coordinators, and faculty. This role keeps our office running smoothly — from managing schedules and budgets to coordinating events and welcoming students and visitors. If you enjoy problem-solving, working with people, and juggling a variety of responsibilities, this position is a perfect fit. You’ll play a vital role in creating a welcoming, efficient, and student-focused environment.

Primary Responsibilities

  • Assist faculty coordinators and the Dean to build and update course schedules, process schedule changes, and monitor enrollment.

  • Process payroll for full-time and part-time faculty and staff, ensuring part-time faculty payroll levels are accurately entered into Workday.

  • Record meeting minutes, prepare reports, and maintain essential departmental records.

  • Process hiring packets for new faculty members.

  • Prepare semester ratio reports for the Dean and Academic Affairs on faculty credit loads.

  • Track part-time faculty credits, evaluation due dates, and hours worked.

  • Support the Dean during faculty in-service programs at all campus locations.

  • Conduct research projects assigned by the Dean.

  • Plan, prepare, and set up for conferences, meetings, and events hosted by the School of STEM.

  • Organize curriculum revision proposals, secure necessary approvals, and submit to the CCRR Chair.

  • Maintain the faculty and staff directory and track faculty professional development activities.

  • Process catalog revisions.

  • Manage and balance departmental and grant budgets, including ordering and purchasing.

  • Provide general administrative assistance to the Dean and act as a central point of contact for the office.

  • Welcome and assist students, faculty, staff, and visitors in person, by phone, and via email.

  • Coordinate with students when courses are canceled due to low enrollment.

  • Maintain office equipment (printers, fax machines) and request facilities services as needed.

  • Assist with bulk mailings for e-learning courses and conferences.

Minimum Qualifications

  • High school diploma with at least 3 years of work experience, or an associate degree.

  • 1–3 years of job related experience.

  • Strong skills in Microsoft Office (Word, Excel, Outlook).

  • Excellent organizational skills and the ability to multitask effectively.

  • Strong communication skills and the ability to handle confidential information with discretion.

  • Problem-solving abilities and the capacity to work independently under time constraints.

Hourly Range $22.3787 - $23.9452 (commensurate with experience)
