Brief Job Description (essential functions of the job):

 

Under direction, the Administrative Secretary serves as administrative aide in the Office of Streets.

Responsibilities

  • Responds to telephone, email, and in-person inquiries regarding the permit application process.
  • As directed, compiles reports on permitted use of the streets in Boston.
  • Performs general clerical duties related to permitting process, including data entry, issuing, and filing for Public Works Department and Boston Transportation Department.
  • Receives and documents payment for various fees related to the permitting process.
  • Assists in a wide variety of his/her lesser administrative functions and recommends administrative procedural changes to carry out departmental objectives.
  • Types notices, letters, official memoranda and reports in connection with difficult and complex clerical duties.
  • Performs related work as required.

Minimum Entrance Qualifications

  • Four (4) years of full-time, or equivalent part-time, experience in office or business administration, in work the major duties of which included one or more of the following functions: office management, records management, purchasing or personnel administration or any equivalent combination of the required experience and appropriate substitutions. 
  • An undergraduate degree may be substituted for a maximum of two (2) years of the required experience. 
  • A diploma for completion of a two-year, fulltime or equivalent part-time program in secretarial or business education above the high school level may be substituted for one (1) year of the required experience.
  • A thorough understanding of all aspects of the Microsoft Office Suite products required.
  • Working knowledge of "Class" software or related scheduling software; familiarity with permitting process; and familiarity with City of Boston neighborhoods desirable.
  • Ability to deal tactfully, honestly, and professionally with the public in a fast-paced environment required. 
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Fluency in Spanish or other secondary language is preferred.
