Baylor University is seeking an Admissions Program Manager to support the mission and vision of the University within the Robbins College of Health and Human Sciences at the Department of Occupational Therapy (OT). The Admissions Program Manager will coordinating the day-to-day administrative functions of graduate admissions for the Department of Occupational Therapy, including the Doctor of Occupational Therapy (OTD) and the Post-professional OTD programs. Works with the OTD Admissions Committee, OT Director of Administrative Affairs, and OTD Program Director to coordinate marketing, recruitment, application, and admissions processes. Coordinates the collection, processing, and evaluation of admissions applications, ensuring that privacy and confidentiality are maintained in all admissions processes.
A Bachelor’s Degree and three years of relevant work experience is required. Five years of relevant work experience is preferred. A combination of education and experience will be used in lieu of one another.
Applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Manage all admissions sites and platforms, develop, and update databases, and generate appropriate reports.
- Serve as the primary contact for all applicant inquiries related to program information and admissions processes
- Manage program databases related to program inquiries and student prospects
- Determine applicant eligibility for admission and proactively contact applicants regarding needed application materials
- Coordinate faculty involvement in the review of applications and selection of candidates
- Track and manage processes for all applicants who are offered admissions, including follow-up with admitted applicants, securing seat deposits, managing the application in the Slate system, interfacing with the Graduate School, and working with the OTD student affairs team to enroll the applicant into the incoming cohort
- Contribute to the annual review of the admissions process as part of ongoing program assessment activities and continuous improvement initiatives
- Track pertinent data to meet the information and reporting needs of the OTD Programs, including data for program assessment and the Accreditation Council of Occupational Therapy Education Annual Report
- Coordinate marketing and recruitment activities, including prospective student visits and informational webinars, with faculty/staff, the Baylor University Admissions Department, Graduate School, RCHHS Director of Marketing and Communications, and other outside agencies
- Support routine review and update of the program website and other promotional/informational materials related to student recruitment and admissions in collaboration with leadership in other RCHHS graduate health programs
- Assist in establishing and enforcing admissions standards, policies, and procedures to ensure that electronic and paper files and records are complete and accurate and that the OTD program maintains confidentiality and compliance with all applicable requirements
- Ensure records regarding student admissions and enrollment are maintained and kept in a secure setting consistent with Family Educational Rights and Privacy Act regulations
- Assist in the timely management of all communications, both written and electronic; compose and send letters, memoranda, and electronic correspondence related to admissions
- Comply with policies and procedures related to nondiscrimination and equal opportunity for all prospective students
- Attend OT Department faculty and staff meetings, participate in OT Department and/or OTD Program community service projects, assist with exam proctoring, assist with on-site events including orientation, lab immersions, and graduation
- Perform other duties as assignvy the Program Director or Director of Administrative Affairs
- Perform all other duties as assigned to support mission Baylor University.
