The Executive Assistant in the Office of Academic Affairs (OAA) provides high-level administrative and strategic support to multiple senior leaders within central administration. This role is essential in managing the day-to-day operations of these leaders, ensuring seamless coordination and execution of responsibilities. Acting as a trusted liaison, the Executive Assistant facilitates communication and collaboration with university administrative offices and key stakeholders, including faculty, staff, students, and external partners.

Key responsibilities include managing complex calendars, handling correspondence, supporting committee work, and overseeing special projects. The Executive Assistant also plays a leadership role in administrative functions, contributing to the resolution of challenges and the advancement of strategic initiatives.

The OAA, led by the Executive Vice President and Provost, oversees all academic areas of the university, including initiatives that support faculty development, student academic success, and community engagement. The Executive Assistant will support several senior leaders while fostering a collaborative and high-functioning office environment across the OAA team.

Key Responsibilities:

  • Provide comprehensive administrative support to multiple senior leaders.
  • Manage complex calendars, travel arrangements, and correspondence.
  • Coordinate and support committee meetings, including agenda preparation and follow-up.
  • Lead and contribute to special projects and strategic initiatives.
  • Serve as a liaison to internal and external stakeholders, ensuring effective communication.
  • Maintain confidentiality and exercise sound judgment in all interactions.
  • Support a collaborative and inclusive office culture.

Minimum Qualifications:

  • Bachelor’s degree or equivalent combination of education and experience.
  • 2 years of experience supporting senior-level leadership.

  • Proven ability to manage confidential information with discretion.
  • Exceptional written and verbal communication skills.
  • Strong customer service orientation and interpersonal skills.
  • Highly organized, self-motivated, and able to manage multiple priorities effectively.
  • Demonstrated professionalism, poise, and sound judgment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with university policies and procedures; experience in a higher education or academic environment preferred.
