Executive Assistant

JELD-WEN is currently seeking a Executive Assistant to join our growing team.
THE ROLE
The Executive Assistant will work directly with members of the Senior Leadership Team (SLT) to manage and deliver the required administrative support for the organization. This position will work closely with the Executive Assistant to the CEO, other Executive Assistants and Administrative Support staff to ensure resources are efficiently used to fulfill all administrative support needs.
Principle Duties and Responsibilities
- Provides high-level administrative support and assistance to primary members of the senior leadership team and back-up support to the CEO.
- Performs clerical and administrative tasks including drafting email, letters, memos, reports, and other documents for senior leaders.
- Arranges travel and accommodations for executives, Board members, and/or visitors/guests through commercial and/or charter services.
- Schedules and manages meeting and event logistics (conference rooms, hotel accommodations, catering, agendas, meeting minutes, etc.) for daily meetings and recurring meetings with senior leaders and occasionally the Board of Directors.
- Use discretion in prioritizing and managing meetings and communications with various stakeholders including internal and external customers, Board Members, other senior leaders and internal employees with the highest level of customer service.
- Receives incoming communication (email, mail, phone calls) on behalf of senior leaders, reviews content, determines importance, and summarizes and/or distributes content to appropriate staff.
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
- Collaborates effectively with other executive assistants and administrative staff to ensure efficient and effective support to all executives and Board Members including creating standard work, desktop procedures, and training for such support.
- Performs other related duties as assigned.
Knowledge, Skills, Abilities
- Excellent verbal and written communication skills.
- Excellent organizational skills and high attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and sometimes stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Able to type minimum of 50 words per minute.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- Must have the ability to maintain the highest degree of integrity and confidentiality.
Qualifications:
- High school diploma required, bachelor’s degree in business administration or related field preferred.
- At least four years supporting multiple C-Suite level executives is required.
- Must be willing to work in the office 5 days a week with the occasional evening or weekend. Remote work is available occasionally.
- Must be able to travel away from the office and the occasional overnight trip when needed.
