Overview
Assists with preparation and maintenance of providers' office and hospital schedules. Assesses and collaborates with office managers to minimize office vacancy rates. Creates and published monthly provider office templates. Optimizes provider appointment calendars.Responsibilities
Assists with, prepares and communicates physicians' on-call schedules. Prepares monthly hospital on-call physician/midlevel schedules (LeBauer and Community Call) providing updates to the answering service, Care Link, and AMION. (Cone system-wide call schedule)--------------------------------------------------Coordinates and publishes physicians' vacation schedules. Compiles information from physicians' schedule requests for vacation. Publish using the At Staff Physician Scheduler system--------------------------------------------------Collects, prioritizes and distributes all incoming mail and packages. Daily check for UPS/Fed-X packages and distribute as necessary. Prepare and mail UPS/Fed-X packages as necessary. Daily distribution of incoming mail to MDs/administrators and office staff.--------------------------------------------------Coordinates, updates and publishes daily staff schedule. Prepare monthly clinic schedule for RNs, CMAs, PV techs, nuclear techs, echo techs, and all PRN staff. Ensure all schedules are up-to-date; anticipate and make changes as necessary, coordinate coverage for callouts and notify appropriate staff at all LeBauer HeartCare locations. Evaluate availability of clinical space and staffing for changes in clinic schedules. Evaluate staff time off requests and assure coverage is adequate prior to approving.--------------------------------------------------Prepares providers' hospital and office rotation schedules. Assists in generation of Physician schedule utilizing the At Staff Physician Scheduler system.--------------------------------------------------Prepares and updates providers' office EPIC work templates. Prepare master template for physician schedules and update when necessary.--------------------------------------------------Monitors daily and weekly provider schedules for optimum provider efficiency. Watch provider schedules daily/weekly to assure all time slots are filled.--------------------------------------------------Maintains physician administrative calendars and schedules meetings. Coordinate and schedule meetings, educational opportunities for physicians. Maintain physician calendar; assure physicians are aware of commitments; block schedules as necessary--------------------------------------------------Reviews AMION (hospital call schedule) daily. Reviews online hospital call schedule daily to assure all assignments are correct.--------------------------------------------------Manages pharmaceutical reps and sample flow throughout the office. Meet and escort pharmaceutical reps, securing samples, and MD signatures. Receives samples mailed to office and distribute to ordering MD or place in sample closet. Assist with coordination of lunch and learn sessions and dinner meetings for Physicians/Clinical staff.--------------------------------------------------Qualifications
