Description

The Inventory Control Specialist is responsible for ensuring the accuracy and timeliness of inventory reconciliations across our distribution centers and field locations. This role will collaborate with the operations and finance teams to uphold inventory control practices, generate key reports, and track inventory variances to build alignment between multiple systems.

Shift: Monday - Friday 9 AM to 5 PM with occasional Saturday

Essential Duties & Responsibilities

  • Inventory Reconciliation:
    • Perform daily spot checks of inventory at the distribution center, focusing on items with varying levels of frequency. 
    • Validate field inventories weekly by sampling 4-10 vending machines and ensuring SEED VMS accuracy. 
    • Reconcile daily receipts to system data and resolve any discrepancies. 
    • Calculate and track over/short discrepancies by distribution center, addressing significant variances with the operations leadership team.
  • Reporting:
    • Generate and distribute weekly reports, including the Warehouse Product Movement and Inventory Reconciliation Reports, highlighting discrepancies and shortages exceeding set thresholds. 
    • Prepare and deliver KPI reports for inventory, bring-backs, waste, and vault reconciliation on a weekly basis.
  • Collaboration and Process Improvement:
    • Partner with the Operations and Finance teams to ensure adherence to inventory control protocols and drive process improvements for optimization. 
    • Facilitate weekly reconciliation meetings to ensure timely and accurate resolutions of discrepancies. 
    • Champion best-in-class inventory control methodologies in partnership with senior management (CFO, SVP of Refreshment Services).
  • Inventory Control:
    • Manage and resolve inventory variances across both distribution center and field locations. 
    • Ensure timely and consistent collection of perpetual inventory data in SEED VMS (e.g., weekly at midnight on Fridays).
  • Audit and Quality Control:
    • Monitor product shelf life, ensuring timely rotation and disposal of expired or unsellable items.

Job Requirements

  • Education & Experience:
    • Bachelor’s degree in Accounting, Finance, Logistics, or related field preferred. 
    • Minimum of 2-3 years of experience in inventory control, accounting, or logistics. 
    • Experience with inventory management systems and accounting software is highly preferred.
  • Skills & Abilities:
    • Strong analytical and problem-solving skills with attention to detail. 
    • Proficiency in Microsoft Excel and other reporting tools. 
    • Ability to manage multiple priorities in a fast-paced environment. 
    • Strong communication skills for effective cross-departmental collaboration. 
    • Ability to work independently and as part of a team.
  • Additional Requirements:
    • Strong organizational and time management skills. 
    • Ability to work flexible hours, including occasional overtime or weekend work, as necessary to meet reporting deadlines and inventory needs.
  • Physical Demands:
    • Ability to sit, stand, bend, and walk for extended periods.
    • Occasional lifting of materials up to 25-50 pounds.
    • Ability to work in varying warehouse conditions, which may include temperature fluctuations and noise.
