Smith Anglin Financial is an airline-focused wealth management practice based in Dallas, Texas. With $2B+ under management as of September 2025, we focus our efforts on serving pilots who fly for the major airlines, both those who are in need of guidance with retirement decisions as well as early career pilots who are building their retirement portfolio. We help individuals and families make informed financial and tax decisions triggered by their unique life events with an emphasis on proactive goal setting.

What You’ll Do
Client/Prospect Communications
• Answer all incoming calls and communicate client needs to team when needed
Marketing Support
• Assemble and mail marketing materials as needed by Marketing Manager
• Maintain and order mailing supplies inventory as needed
• Prospect research and HubSpot data cleaning
• Coordinate head shots with photographer for team member changes
Gifts and Cards
• Order Get Well and funeral flowers as needed
• Prepare and mail client birthday cards weekly and Christmas cards annually
Office
• Maintain Office Calendar
• Maintain conference rooms and be available to solve technology problems that arise before and during a meeting
• Greet guests and drop-in clients and assist them with anything needed
• Maintain inventory of all stationery, envelopes, labels, mailing, office supplies, toner cartridges, etc. and coordinate with printer for items as needed.
• Tenant liaison for building management including maintenance requests, and coordinate/maintain card key access for building/parking garage
• Manage executive parking spots monthly for team drawing
• Maintain kitchens and order all kitchen supplies. Coordinate with vendors as needed such as Parks, Culligan, etc.
Mail
• Deliver mail and overnight packages to mailroom
• Pickup daily mail and distribute as needed
• Manage postage meter and refills
Operations
• Prepare staff meeting slides and presentations for multiple people and run presentations during staff meetings. Other presentations as requested.
• Member of Employee Experience Team and assist team lead with ideas, purchasing, organizing for our employee events.

What You’ll Bring
• 2–4 years of experience in administrative support, office coordination, or client services
• Associate’s or Bachelor’s degree preferred, or equivalent work experience
• Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment
• Excellent verbal and written communication skills
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with HubSpot or similar CRM platforms is a plus
• Comfortable with basic technology troubleshooting (e.g., conference room AV setups)
• Experience supporting marketing or client engagement efforts is a plus
