Summary
The part-time Senior Administrator, Billing, Reporting & Analysis, will act as a centralized communicator between non-finance colleagues, country offices, and donor billing team providing administrative and operational support on a part time basis. This role is responsible for supporting grant specific general ledger verifications, creation and oversight of donor reporting trackers and document storage, lead in coordination of award closeouts, continuous improvement and efficiency, and other ad hoc projects as needed.
What You’ll Be Doing (Essential Duties)
- Serve as point of contact with relevant stakeholders to support collection and review of expenditure supporting documentation for specified awards (50%)
- Receive, organize, and complete first round review of supporting documentation in conjunction with relevant stakeholders.
- Create and maintain trackers of all items requested and received as well as relevant communications related to requested items and clarifications as needed.
- Establish calendar of known compliance requirements (i.e., audit) and coordinate amongst teams through completion.
- Reporting Collection & Accountability (20%)
- Responsible for the overall maintenance and management of document repository for all submitted donor financial reports in close coordination with donor billing team.
- Update both AMS & Agresso reporting schedules in line with monthly submissions and liaise with both International Programs and ACOR teams to ensure financial reporting key performance indicators are both met and accurate. Lead in follow through to resolution for any discrepancies between systems.
- Closeouts (20%)
- Using existing checklists from other teams, establish process specifically for the use of Donor Billing, to systematize award closeout backlogs.
- Proactively establish monthly review in coordination with ACOR team and generate journal voucher entries.
- Continuous Improvement & Efficiency (10%)
- Maintain required reporting templates per donor specifications.
- Facilitate review and updates of existing EFRAP policy and procedures to new required agency guidelines while ensuring completeness of topics covered.
- Data analysis for continuous improvement and efficiency projects.
- Lead cleanup of existing shared computer drive to SharePoint online and creating a workflow for future use.
- Perform other duties as may be required.
Required Qualifications
- Minimum of a High School Diploma or equivalent, plus at least 2 years of relevant experience or education
- Professional proficiency in MS Office suite
- Professional proficiency in spoken and written English
- Demonstrated ability to communicate and collaborate effectively with individuals and teams at all levels, both internally and externally
- Demonstrated commitment to fostering and maintaining an environment of diversity, inclusion, and belonging
Preferred Qualifications
- Experience with financial systems and general accounting language/principal
- Ability to prioritize workload and meet deadlines with attention to detail
- Demonstrated commitment to problem solving and achieving established goals
- Prior experience with USAID-funded programs, including contracts, is a desirable advantage
Compensation
Save the Children is offering the following annualized salary ranges for this position, dependent on candidate location:
- Geo 1 - NY Metro, DC, and other locations with labor costs significantly above national average: Target Salary for this position is $55,250 – $61,750 annualized base salary ($26.56 - $29.68/hr)
- Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $50,150 – $56,050 annualized base salary ($24.11 - $26.94/hr)
- Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $45,050 – $50,350 annualized base salary ($21.65 - $24.20/hr)
