What does an Associate Procurement Agent do?
- Ensures the ordering of goods and services as per our customers’ requirements is in accordance with all relevant policies and procedures.
- Ensures accurate recording of purchasing information by performing data entry tasks associated with purchase requisitions (manual or computer generated) and orders. This includes the correction or cancellation of all orders and requisitions.
- Maintains effective and timely trade agreements on goods and services.
- Resolves any invoices in dispute.
- Ensures quality and cost effectiveness by monitoring and documenting the sourcing, negotiating of price and availability of product (under supervision) as per requirements and specifications of the user department within agreed lead-time.
- Undertakes analysis and measurement of analysis by preparation of reports for review of supply chain performance to ensure the smooth and improved operation of supply chain activities.
- Maintains productive and proactive business relations with suppliers and related organizations within strict contractual supply guidelines as directed.
- Visits end users (internal and external) periodically to enhance familiarization of business operations.
- Assists with the preparation of various monthly reports on orders raised, products used, and a list of stock holding issued to departments. Ensures adequate levels are maintained.
- Catalogues and maintains product and supplier files.
- Documents all relevant information and supplier responses in regard to product availability, specification and price.
- Works with user departments and suppliers to ensure that operational efficiencies are realized at all times, thereby reducing all soft costs.
- Maintains and updates monthly cost saving reports.
- Acts in accordance with established Occupational Health and Safety (OH&S) policies and procedures and reports any actual or potential OH&S issues.
To be successful as an Associate Procurement Agent, you’ll need:
- A Bachelor’s Degree in Business or related field, or Supply Chain certification. Equivalent combination of experience and education may be substituted.
- Experience in a Supply Chain or Purchasing role in a large organization.
- Experience and knowledge of Microsoft Office products and purchasing software; with preference on MS Word, and Excel.
- Analytical thinking and problem-solving skills.
