The Department is seeking an Administrative Assistant Senior to provide comprehensive executive level support to the Director and Deputy Director and maintain a portfolio of responsibilities associated with financial and budget administration and special project coordination. The candidate must have excellent communications skills, strong organizational skills, experience with highly sensitive and confidential materials and have a demonstrated track record of effective problem-solving.

Responsibilities

  • Manage and maintain the Director and Deputy Director’s calendars, including scheduling meetings, appointments, and travel arrangements.
  • Screen calls, emails, and correspondence, responding or redirecting as appropriate.
  • Prepare, proofread, and edit documents, reports, presentations, and communications
  • Coordinate logistics for internal and external meetings and events.
  • Track and follow up on action items and deadlines on behalf of the Director and Deputy Director.
  • Assist with project management responsibilities associated with special projects in the Director and Deputy Director’s portfolios.
  • Handle confidential and sensitive information with discretion.
  • Liaise with internal departments and external stakeholders on behalf of the Director and Deputy Director.
  • Manage City Council meeting agenda item process and assist with the City Council Jobs and Economic Development Committee meetings.
  • Manage several financial functions such as accounts payable processes, purchase card transaction reconciliation and expense reports/reimbursement processes.
  • Provide contract support by obtaining signatures for department, and approvals by the City Manager’s Office.
  • Provide support to ensure invoices/payments are processed, and vendors are properly setup for payment.
  • Coordinate travel requests and approvals.
  • Support additional office management and administrative functions as required.
  • Performs other duties as assigned.

  • Excellent organization, interpersonal and written/oral communication skills with a variety of audiences.
  • Proven ability to work as a team member and collaborate well with diverse partners and stakeholder groups.
  • Demonstrated ability to perform at high level, using analytical thinking, independent judgement, and decision making to deliver results in a fast-paced work environment with minimum direction.
  • Ability to be proactive and adaptable while setting work priorities and meeting deadlines.
  • Ability to scan the environment, anticipate needs and concerns, and offer solutions with a high level of professionalism and confidentiality.
  • Advanced Microsoft Office skills capacity.
