Position Title: Patient Care Manager
Department: Clinical Operations
Reports To: Clinic Services Director
Position Summary:
The Patient Care Manager is responsible for overseeing the Clinical Assistant team across all clinic locations, ensuring the delivery of high-quality patient care and satisfaction. This leadership role involves direct collaboration with Supervisors, Managers, and Providers to maintain efficient operations, adequate staffing, medical equipment and supplies, and compliance with clinical standards and OSHA requirements. The Patient Care Manager must have comprehensive knowledge of patient care processes and Clinical Assistant functions to ensure adherence to proper procedures and best practices.
Qualifications:
- Associate’s Degree (A.S. or A.A.) required
- Minimum of 5 years’ experience in a healthcare or clinical setting
- Previous leadership experience preferred
- Strong knowledge of OSHA regulations and clinical workflows
Key Responsibilities:
Staffing & Scheduling
- Prepare and distribute weekly Patient Care schedules
- Review and approve PTO requests while ensuring adequate clinic coverage
- Coordinate cross-coverage between Medical and Administrative Assistants
- Interview and assist with the selection of Clinical Assistant candidates
Team Management
- Conduct 30-day, 90-day, and annual employee evaluations
- Provide training, feedback, counseling, and disciplinary action as needed
- Maintain up-to-date training materials and oversee onboarding processes
- Serve as a mentor to Clinic Leads and Clinical Assistant Supervisors
- Ensures appropriate access for Clinical Assistants to IT systems, programs, Teams, and external facilities
Clinical Operations
- Oversee daily operations to ensure clinic readiness, flow, and patient intake quality
- Monitor documentation compliance, including MIPS, medication reconciliation, and chart prep
- Support emergency response coordination
Compliance & Quality Control
- Maintain and revise policies and SOPs related to Clinical Assistant functions
- Ensure compliance with biohazard waste management and safety inspections
- Ensure compliance with OSHA standards and hazardous waste management standards.
- Conduct and report on weekly, monthly, and quarterly audits
Provider & Patient Relations
- Meet with Providers quarterly to review team efficiency and clinic operations
- Act as liaison between Physicians and Clinical Assistants
- Manage and resolve patient complaints related to Clinical Assistant interactions
- Oversee physician shadowing requests and ensure required documentation is completed
Administrative Support
- Create and report performance metrics by clinic zone and satellite location
- Monitor supplies and equipment across all clinic locations
- Assists in maintaining and updating resources and information on Clinical Assistant SharePoint sites
Other
- Evaluate clinic operations and implement improvements when necessary
- Perform other duties as assigned
