CLASSIFICATION: Full Time, Non-Exempt, 1.0 FTE

COMPENSATION: $22.90 Hourly

POSITION SUMMARY

The EJ and Agency Programs Administrative Support Specialist is split across two departments, the Economic Justice Department and the Agency Programs Team - specifically supporting the Deputy Director of Programs. The role provides logistics, planning, and staffing support to the Economic Justice Department as well as administrative  support to the Deputy Director of Programs and Agency Programs Team. The role also assists with data entry support, grant management, and client assistance logs. Part of a dynamic team providing critical services to families, this position provides overall administrative and logistical support to ensure our programs run smoothly and to facilitate positive participant experience.  The position requires flexibility, attention to detail, and a desire to work collaboratively to positively impact families and communities.


PRIMARY DUTIES AND RESPONSIBILITIES

Economic Justice

  • Provide administrative support to the Program Managers and Director
  • Assists with participant data entry into Latino Network case management software ETO as well as funder databases, meeting data deadlines to ensure reports are completed on time.
  • Supports with delivery of client assistance (checks, groceries)
  • Provides routine reminders to Economic Justice staff about organizational deadlines for finance (check requests, reimbursements, reconciliation of credit card expenses), timesheets, and other department-wide communications
  • Assists with event coordination and management as needed, ranging from department and team retreats to outreach events in community
  • Maintains client assistance tracking systems for department
  • Schedules and conducts intakes as needed
  • Schedule energy assistance appointments using the Community Appointments Platform
  • Participate in department and agency staff meetings and trainings
  • Design and co-lead training for ETO, funder databases, Program 101’s

Admin - Deputy Director of Programs

  • Provides overall administrative support to the Deputy Director of Programs, including scheduling and calendar management, gathering, compiling and organizing information, maintaining digital files
  • Assists with meeting, event and  retreat planning and implementation, including scheduling, agenda preparation, logistics, venues, materials and food
  • Takes notes as assigned and maintains organized records of meeting minutes
  • Supports Program Directors team with administrative tasks including purchasing necessary office supplies and equipment, drafting documents and communications, answering calls and emails as requested
  • Coordinates bulk orders of program department supplies, including client assistance, gift cards, program supplies and equipment.
  • Coordinates on-site cross-department projects such as holiday gifts and food distribution, program staff convenings and in person program trainings.

  • Meets deadlines for mileage, expense reimbursements and timesheets
  • Supports special projects
