Key Responsibilities:

Director Support
• Manage administrative activities and maintain workflow of the department or division in the Director’s absence.

Work-Based Learning Center Operations:
• Answer employee and customer inquiries (phone, email, web, in-person) on a variety of Center topics by accessing information in multiple CWI systems or directing to the appropriate staff member.
• Interact with students and employers, helping both navigate the process of finding and preparing for employment.
• Develop, analyze and regularly review office procedures. Problem-solve for improvements with input from appropriate personnel and Director. Adapt or modify existing office processes to accommodate new procedures or methods.
• Utilize knowledge and understanding of underlying operational issues and established department/division policies and/or dictation to compose and edit technical and/or administrative correspondence, documentation and complex reports using a personal computer.
• Understand and apply office policies, procedures, and practices associated with the specialized nature of the department or division.
• Oversees and/or performs specialized recordkeeping requiring compilation and classification of varied information, data collection and database management, and/or specified information-gathering projects and tasks associated with department or division internal and external reporting or compliance requirements.
• Train others on office processes and procedures, equipment, and software.

Overall Work-Based Center Support:
• Provide support for CWI staff interacting with the Center meetings including scheduling, tracking attendance, food ordering (if applicable) and assistance with meeting agendas, presentations and supplies.
• Coordinate signatures and tracking for Business Office and HR documents.
• Order supplies and equipment for departmental usage.
• Develop and support the creation of Work-Based Learning Center assets (flyers, website).
• Understand and support the Learn.Do.Earn model.

Customer Service:
• Greet and direct visitors and students in a professional, pleasant manner.
• Provide and/or oversee support activities for the department or division such as answering telephones, resolve and/or refer a range of administrative/operational problems and inquiries to appropriate individuals, and follow up on operational commitments.

What We're Looking For: 

High School Diploma or GED required. Associate degree or Associate of Applied Science (AAS) degree preferred
Two years’ experience in a professional, higher level administrative assistant role
Must possess excellent customer-service skills.
Ability to interpret documents and manuals, such as safety rules and manuals, operating and maintenance instructions, and policy and procedure manuals.
Ability to compose original instructions, reports, and other routine business correspondence and memorandums.
Must have excellent working knowledge of Microsoft Office and telephone protocol. Duties require professional verbal, written, and virtual conferencing communication skills.
Ability to effectively present information and respond to questions in one-on-one and in group situations
Previous experience in a similar role at a college or a university preferred
