The Opportunity
The position of Department Coordinator provides, with little supervision, provides administrative support to ensure efficient operation of the office, supports managers and employees through a variety of tasks related to organization and communication, are responsible for confidential and time sensitive material, and are familiar with administrative concepts, practices, and procedures.
RESPONSIBILITIES:
- Organize and schedule appointments and meetings
- Maintain contact lists
- Purchasing responsibilities – create requisitions for purchase orders (one time purchases and also blanket Pos for vendors), tracking of purchase orders, communications with vendors pertaining to purchase orders and invoices
- Invoicing Reconciliation
- Produce and distribute correspondence memos, letters, faxes, and forms
- Carry out administrative duties such as filing, typing, copying, binding, scanning, etc .
- Perform editing and formatting services
- Provide transcription services
- Prepare or generate regularly scheduled reports
- Prepare and monitor invoices
- Submit and reconcile expense reports
- take and produce meeting notes
- Research and create presentations
- Maintain supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing
- and expediting orders for supplies; verifying receipt of supplies
- Maintain computer and manual filing systems
- Handle sensitive information in a confidential manner
- Develop and update administrative systems to make them more efficient
- Resolve administrative problems'
- Review department records for accuracy and note any corrections needed
- Photocopy and print documents on behalf of other colleagues
- Implement clerical duties and administrative processes
- Conduct data entry
- Coordinate meetings and associated requirements
- Perform other duties as assigned
BASIC QUALIFICATIONS I EDUCATION:
- High school diploma or equivalent; college degree preferred
- 5+ years of similar work experience
- MS Office
- Experience with Coupa and Esker
PREFERRED QUALIFICATIONS:
- Prior experience in the regulated manufacturing environment (FDA, USDA, etc.)
The base pay for this position is
$19.60 – $39.20/hourIn specific locations, the pay range may vary from the range posted.
