POSITION TITLE: Energy Programs Scheduler
LOCATION: Greenfield
STATUS: Non-Exempt
SUPERVISOR: Operations & Vendor Coordinator
POSITION SUMMARY
Responsible for scheduling Electrical Efficiency, Weatherization, Air Source Heat Pump (ASHP), Heating System, and Home Repair assessment appointments with energy program clients and technicians. Assist with reminders to scheduled clients and provide telephone and administrative support for the department.
ESSENTIAL RESPONSIBILITIES
- Answer phone calls and return voice messages.
- Schedule Electrical Efficiency, Weatherization, ASHP, Heating System, and Home Repair Assessment appointments for eligible clients.
- Create job numbers in database and job folders once client is scheduled.
- Answer general questions pertaining to the Energy Department.
- Maintain basic information and resources of the other Agency programs to direct and assist clients.
- Update databases with pertinent information.
- Follow program guidelines for the use of all required database systems including but not limited to SharePoint, CSG Identity, CSM, InDemand, Monday.com Boards, excel spreadsheets and others as required.
- Provide follow-up services to clients who receive services in accordance with program guidelines.
- Assist with other clerical duties as needed including special projects, data entry, filing, mailings, phone coverage, etc.
- Maintain a high level of customer service following established Community Action Customer Service Standards and all applicable guidelines set forth by the program.
- Attend regularly scheduled supervision meetings, team meetings, mandatory agency trainings, and participate in professional development activities.
- Comply with agency and funders’ paperwork requirements and procedures.
- Maintains strictest confidentiality.
- Performs related work as required.

- Proficient computer skills (Microsoft Suite and databases).
- Must be able to acquire a basic understanding of the program certification procedures.
- Understanding of data capture and tracking methods. Sensitivity to cultural and socioeconomic diversity and the needs of individuals with low incomes.
To Qualify
- Minimum Qualifications/Transferable Skills.
- High School Diploma or equivalent required.
- One year of experience of customer service, ability to engage in a compassionate, empathetic manner.
- Bilingual (Spanish or Russian/English) preferred.
- Experience using computers and electronic systems.
