Provides receptionist, switchboard, and administrative support services by answering and directing calls, assisting visitors, handling mail and correspondence, maintaining records, and performing clerical and office support functions in accordance with established procedures.

Primary Duties

  • Operate switchboard and telephone systems by answering, screening, routing, and transferring calls; providing information to callers; responding to voicemail messages; receiving emergency codes; and making public address (PA) announcements, as applicable.
  • Provide receptionist and visitor support services by welcoming visitors, determining the nature of their business, directing them to appropriate personnel or locations, monitoring visitor access, and issuing visitor badges, as required.
  • Perform administrative and clerical duties by entering and maintaining data; reviewing, verifying, and proofreading records and reports; maintaining confidentiality of sensitive information; and responding to inquiries and requests.
  • Manage office communications and resources by receiving, sorting, and distributing mail, packages, publications, faxes, and correspondence; operating and maintaining office equipment; maintaining office supplies and forms; and coordinating conference room reservations and logistical arrangements.
  • Maintain compliance with organizational, safety, and security requirements by adhering to applicable policies, procedures, regulations, emergency protocols, safety standards, and occupational health requirements, and by performing other duties as assigned.

Additional Responsibilities

  • Maintain office supplies and forms and coordinate conference room reservations and other logistical arrangements, as needed.
  • Perform switchboard support functions, including answering and transferring calls, receiving codes, and making public address (PA) announcements, as applicable.
  • Adhere to applicable safety, security, emergency management, and organizational policies, procedures, regulations, and accreditation standards.
  • Perform other responsibilities as assigned.

Qualifications: Education, Experience, and Certification(s)

  • Required: High school diploma or General Educational Development (GED).
  • Required: One (1) year of experience in an administrative, receptionist, customer service, switchboard, or related office support role.
  • Required: Must be able to obtain a VA security clearance.
  • Preferred: Experience working in a high-demand, fast-paced environment.
  • Preferred: Experience handling confidential information, including HIPAA-regulated information, when applicable.

  • Excellent telephone etiquette and call-handling abilities.
  • Basic proficiency with Microsoft Office applications and standard office software.
