Overview
We require an experienced Office Site Administrator/Coordinator to provide a broad range of administrative support and coordination services to a busy operational site in Netherlands. This Role in based in Groningen The Site Administrator will be the key point of contact for meeting coordination, team support and any ad hoc administrative tasks. They will be a professional administrator who works with integrity and discretion at all times.
Responsibilities
- Manage the day to day running of the site office
- General administrative duties as required by the Site Manager or Contracts Manager, including typing and distribution of meeting minutes and actions arising
- Conduct document control including creating packages, collating documents for the Site Team and assisting sub-contractors with queries
- Liaise with Procurement department
- Manage anomalies and costs
- Report weekly and monthly data and information to site teams, key stakeholders and partners
- Maintain a professional image for the company in all dealings with public and stakeholders
- Other ad hoc duties that the Company may require from time to time
- Manages all correspondence in a proactive manner.
- Prepare meetings, prepare collateral and wrangle the working group members to achieve their tasks.
- Undertakes any ad hoc administrative tasks as requested.
- Maintains a log of messages and actions for review on a periodic basis.
- Take ownership for diary management and coordination with the business and external stakeholders.
- Arranges meeting rooms and room setups as required.
Experience
- Excellent Interpersonal and Organisational skills.
- Can clearly demonstrate a flexible approach to work.
- A strong track record of proactive diary management.
- The ability to utilise the full suite of Microsoft Office tools (Word, Excel, PowerPoint, Adobe, etc.).
- The ability to exercise the utmost discretion in dealing with sensitive data.
- Experience prioritising a range of activities or projects on behalf of an organisational leader.
- Is familiar with social media platforms and how to use them effectively.
Qualifications
Required Qualifications/Training
- Significant experience of working within the Construction Industry.
- ECDL, Pitman or equivalent qualification.
Desirable Qualifications/Training
- A Business Administration or related qualification.
- Has a keen interest in the use of technology to improve efficiency.
