Job Summary
We are seeking a skilled and proactive part-time Facilities Coordinator to oversee and manage the daily operations of two on-site maintenance crews across our facilities. The ideal candidate will be responsible for managing a ticket system for maintenance requests, coordinating repairs, procuring and vetting vendors, and ensuring that our facilities remain safe, functional, and well-maintained. This role also requires hands-on involvement in certain repairs and maintenance tasks. Being reliable and self-motivated with a keen eye for detail is essential in this job, as the ideal candidate will have significant work experience and solid technical knowledge. Must be available to work after hours (4:30pm-7:30am) and weekends.
RequirementsESSENTIAL FUNCTIONS
Team Management:
- Supervise and coordinate the activities of two on-site maintenance crews.
- Assign tasks and monitor progress to ensure timely and efficient completion of maintenance and repair projects.
- Provide guidance and support to the crews as needed.
Repairs and Maintenance:
- Coordinate and prioritize facility repair and maintenance requests.
- Perform hands-on repairs and maintenance tasks as needed to address urgent or specialized issues.
- Ensure that all work is completed to safety and quality standards.
- Coordinate the repair of minor fixes, such as repairing broken locks, damage to walls, etc.
- Maintain roofs, AC units, and other preventive measures to keep facilities operational.
- Coordinate the install of necessary appliances and equipment as needed.
- Coordinate the maintenance of the grounds, including garden and yard upkeep, trimming, edging, mowing lawn, collecting trash, graffiti removal etc.
- Complete regular maintenance tasks, such as replacing light bulbs, filters etc.
- Inspect and troubleshoot various equipment and systems.
- Test the functionality of the facility’s safety systems.
- Collaborate with a team of workers and other professionals during renovations and facility expansions.
Vendor Management:
- Identify, vet, and procure qualified vendors for specialized repairs, maintenance, or facility improvement projects.
- Under the supervision of the Director of operations - obtain and review quotes, negotiate contracts, and oversee vendor performance. Contracts will be signed by Director of Operations.
- Maintain positive relationships with vendors and ensure compliance with company policies and standards.
Compliance and Safety:
- Ensure that all facilities comply with safety regulations and building codes.
- Conduct regular inspections to identify potential issues and address them proactively.
- Maintain up-to-date records of repairs, maintenance, and inspections.
Communication and Reporting:
- Serve as the primary point of contact for facility-related concerns.
- Communicate effectively with management, staff, and external vendors regarding facility updates and issues.
- Provide regular reports on maintenance activities, expenses, and vendor performance.
- Other duties as assigned by Supervisor.
QUALIFICATIONS/ POSITION REQUIREMENTS

EXPERIENCE / KNOWLEDGE:
To perform effectively in this position, the incumbent must have:
- Minimum 1-3 years experience in similar role.
- Collaboration skills and teamwork are critical, with flexibility and a positive disposition.
- Demonstrates high attention to detail.
- Solution oriented with ability to respond quickly and efficiently to any day to day issues that arise.
- Demonstrates knowledge of basic project management practices.

- Experience with, knowledge of, multi-ethnic and underserved communities.
- Good oral/written communication, interpersonal.
- A demonstrated ability to maintain confidentiality.
- Proficiency in mathematics and analytical comprehension.
- Proficiency in Google Suite.
EDUCATION:
High School diploma. Some college or equivalent coursework in facilities, business, operations, or project management (Bachelor’s Preferred)
