Purchasing Supervisor, Rentals

Job Summary:

The Purchasing Supervisor oversees daily purchasing operations, functioning as a Buyer and Project/Internal Support lead while supervising a team of Buyers. This role implements strategies to provide materials and services that meet organizational requirements for quality, volume, and pricing. The Supervisor ensures the staff provides turnkey procurement solutions and maintains routine interaction with both the team and internal customers.

Additionally, the Supervisor provides oversight for the Rental Coordination team, ensuring the field receives correct equipment on time while maintaining cost integrity through the Vendor Matrix.

Essential Duties and Responsibilities: 

• Supervises a team of Buyers directly, providing oversight for Project Support functions.
• Collaborates with team members on a daily basis to ensure all purchasing tasks are completed in a timely manner.
• Ensure that all Field Teams rental needs are ingested timely, and fulfilled by ACCOs third party partners. 
• Maintain relationships with ACCO Field Leadership to understand impacts being caused by third party suppliers, and work with the suppliers to mitigate concerns. 
• Have a strong working knowledge of the rental equipment industry common practices including, but not limited to: pricing structures, maintenance requirements, and delivery requirements. 
• Build and maintain working relationships with rental equipment providers in all markets ACCO operates in. 
• Review rental equipment invoices, identify discrepancies. 
• Resolves billing disputes between ACCO and suppliers, escalating to leadership when necessary.
• Mitigates delays by working with suppliers and ACCO team members to identify solutions. 
• Notifies suppliers of their cost responsibilities regarding supplier-caused issues.
• Maintains a comprehensive knowledge of market conditions regarding pricing, service, and product issues.
• Identifies potential cost reduction areas and analyzes the impact of pricing changes for goods and services.
• Develops and maintains reporting and vendor relationships to effectively manage suppliers and staff.
• Oversees the update and maintenance of unit cost pricing databases and the Rental Vendor Matrix.
• Performs weekly "Back-End Audits" of vendor reports to identify and correct unreported equipment exchanges.
• Tracks "Time-to-Fill" metrics, unit measurements, and market trends to manage suppliers and staff.

• Performs other duties and responsibilities as assigned.

• Proficient in supply chain management practices and understanding of subcontracts.

• Technical proficiency in HVAC Equipment, PVF, Fire Sprinkler, Plumbing, and Site Utilities procurement.

• Proficient-plus level user of MS Excel and MS Word, with experience working in Bidtracer.

• Ability to work independently, prioritize duties with minimal supervision, and meet strict deadlines.

• Strong verbal and written communication skills, including professional business writing and active listening.

• Demonstrated high customer service skills and the ability to work effectively in a team environment.

• Ability to organize and analyze large amounts of information for reporting and cost-reduction purposes.

Education and Experience: 

• Required: High School diploma or recognized equivalent.
• Required: Minimum of 3 years of related work experience in the materials and production field and experience in equipment rental and logistics
• Desired: Previous knowledge of the industry is preferred.
