Chief of Staff 

As the Chief of Staff at Hayden AI, you will improve our company’s operating cadence.  We are looking for an exceptional communicator who will create efficiencies between all departments.  This will be a highly visible role designed to work in partnership with our leadership team. In addition to serving in several vital capacities, this person will hold our company and leadership accountable for sticking to our goals by setting the framework for success.  

While the high-level focus of this role will be to organize ideas, communicate Hayden AI’s vision, and delegate projects and tasks, some of the other various responsibilities will include the following:

Summary Responsibilities:

  • Manage information flow in and out of the CEO’s office. You will be the Gatekeeper for competing priorities or unneeded interruptions to CEO's primary tasks and responsibilities.
  • Develop and lead the daily operations of the executive office.
  • Build and run cadence for leadership meetings, board meetings, and leadership offsites, including structuring and helping to deliver company-wide communication.
  • Lead cross-functional strategic initiatives, facilitate special projects, and ensure action items are executed on behalf of the CEO.
  • Operate at a tactical, strategic, and operational level, handling the oversight of projects that do not neatly fit within the organizational chart or that fall between departments or leadership areas of responsibility.
  • Act as an extension of the CEO and information funnel, filter, and facilitator with internal and external stakeholders.
  • Assist in building out the Executive Assistant program while training and managing EAs. 
  • Act as the point of contact for the CEO’s direct reports. Triage all incoming requests for the executive’s time and work collaboratively to ensure his calendar is aligned with the priorities of the organization.
  • Proactively follow up with the CEO’s team if and when goals are not being achieved to determine why objectives are not being met. Provide actionable recommendations for improvement.
  • Promote team integration as well as cross-functional communication and collaboration.
  • Manage key relationships and build a process to track and nurture key stakeholders, investors, and clients
  • Track high-priority initiatives for the CEO to identify any/potential obstacles.
  • Serve as a thought partner and strategic advisor to CEO, standing in on meetings, challenging ideas and offering a different perspective, and following up on action items with the team accordingly.
  • Manage the CEO’s brand & reputation.

Required Qualifications:

  • Master’s degree in business administration, finance, or a similar field preferred.
  • 5+ years of total relevant work experience; with 3+ years managing projects in a dynamic environment. Start-up experience is a plus.
  • Track record of organizing and directing multiple teams and departments.
  • Excellent communication skills, both written and verbal.
  • Highly intelligent, creative, and strategic thinker who anticipates issues and opportunities and effects solutions with the ability to see the big picture with extreme attention to detail; strong analytical skills; disciplined and process oriented
  • Respond to urgent issues, ensuring appropriate actions are taken to address situations.
  • Handle sensitive and high-stakes situations with composure, empathy, and professionalism.

  • Must be located in the San Francisco Bay area.

Target Salary Range:

  • $120,000-$175,000
  • Company granted equity
