Job Description:

The Acquisitions and Database Maintenance Specialist provides operational support for library collection management through acquisitions processing and bibliographic record maintenance. This position performs routine and complex acquisitions functions for print and electronic resources while also conducting copy cataloging and metadata maintenance to ensure timely discovery of library materials. Reporting to the Acquisitions Librarian in coordination with the Director of Collection Services, the position works collaboratively across Collection Services and related library units to support efficient technical services workflows and user access.

Responsibilities:

40%     Copy Cataloging & Metadata

Perform copy cataloging for monographs and other library materials using national standards and local practices. Import, edit, and maintain MARC bibliographic, holdings, and item records. Apply classification systems and subject headings (e.g., Library of Congress Classification and Subject Headings). Resolve routine cataloging and database maintenance issues.

35%     Acquisitions

Process orders for print, electronic, and continuing resources using the library services platform (e.g. SirsiDynix, Alma). Create and maintain purchase orders, vendor records, and fund information. Monitor order statuses, shipments, invoices, and claims. Resolve routine ordering and invoice discrepancies with vendors. Support approval plans, firm orders, standing orders, and gifts workflows.

20%     Operations

Participate in collections services workflow planning and process improvement efforts. Compile routine statistics and reports related to acquisitions and cataloging activities.

5%       Other duties as assigned.

Minimum qualifications: 

Bachelor’s degree from an accredited college or university and one year of library or highly relevant work experience.  Experience working in a library technical services environment or related administrative/data management setting. At least four years of library experience may qualify as a substitute for the required degree

Preferred qualifications:

Experience with library acquisitions, copy cataloging, or metadata work in an academic library.

Experience working in the Alma ILS environment.

Knowledge of MARC records, Library of Congress classification, and library metadata standards.

Experience processing invoices, purchase orders, or financial records.
