Position Overview
The Store Coordinator is an individual contributor role focused on managing our token ordering platform while overseeing shipping communications and supporting various operational functions. This position combines e-commerce store coordination with customer service excellence, requiring someone who can handle multiple operational areas with precision and strong communication skills. You will serve as the primary liaison between customers, internal teams, and shipping vendors while ensuring accurate order processing and exceptional customer experiences.
What you will work on
Store Coordination (40%):
- Coordinating day-to-day operations of online store including order processing, inventory updates, and product catalog maintenance
- Overseeing order workflow from placement through completion, ensuring accurate and timely processing
- Monitoring store performance, identifying issues, and coordinating with technical teams for resolution
- Generating and analyzing store performance reports, tracking key metrics and identifying improvement opportunities
Shipping Communication & Troubleshooting (40%):
- Serving as primary contact for shipping inquiries, tracking requests, and delivery issues
- Acting as liaison between client-facing teams and our third-party shipping vendor who handles all carrier relationships and logistics
- Coordinating with shipping partners to troubleshoot shipping delays, lost packages, and delivery exceptions while maintaining proactive customer communication
- Managing data exchange processes with shipping vendors (order data out, tracking information in) and uploading tracking data
- Maintaining detailed records of shipping issues and vendor interactions for process improvement
Operational Support (20%):
- Assisting with accurate billing records and resolving discrepancies
- Supporting month-end processes and providing operational reports to finance
Qualifications
Required:
- Bachelor's degree preferred or equivalent combination of education and experience
- 2+ years of experience in e-commerce, customer service, or operations management
- Proficiency with Shopify administration and order management (or similar e-commerce platforms)
- Strong skills in Excel, CRM systems, and billing software
- Experience with Zendesk, email management, and customer communication platforms
- Exceptional attention to detail and accuracy in processing orders, billing, and shipping information
- Excellent written and verbal communication skills for customer interactions
- Strong analytical and problem-solving abilities
- Ability to manage multiple priorities and processes simultaneously
- Commitment to providing exceptional customer service and support
Preferred:
- Experience with vendor management and third-party logistics coordination
- Knowledge of payment processing and financial operations
- Previous experience in healthcare or technology industries
- Understanding of inventory management principles
- Experience with spreadsheet-based data exchange processes
Physical Requirements
- 90% remote work.
- Up to 10% travel as needed for business requirements.
