The Office Manager is a full time partially grant funded position, which will perform a variety of administrative, office and program support activities to the Tow Youth Justice Institute (TYJI) at University of New Haven. The Office Manager works as part of the team which consist of TYJI staff and faculty members to achieve the goals of the TYJI as identified through the strategic plan.

You will:
- Maintain office services by organizing office operations and procedures; controlling correspondence and reception; designing filing systems; reviewing and approving supply requisitions.
- Identify procedures for retention, protection, retrieval, transfer, disposal of records.
- Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Manage materials and office documents including archives, paper and electronic files.
- Maintain inventory and orders supplies, subscriptions and other operating materials for the TYJI.
- Lead coordinator for all TYJI student interns.
- Assist and supports in student experiential education positions at TYJI including PhD, Graduate, EGAP, and Undergraduate levels.
- Coordinate student assignments, schedules, and compensation in accordance with funding source allocations.
- Manage expense reports for Associate Director and Director, Development and Communications
- Assist the Director of Development and Communications with the administration and analysis of project/grant/contract level budgets, and also assists with the preparation and processing of financial documents as directed.
Qualifications
You need:
- Bachelor's degree is preferred for this position. Equivalent combination of education and demonstrated experience may be considered.
- Office management experience in an institution of higher education required.
- Excellent interpersonal skills to enable patient and personable interaction with students, faculty, staff and public as well as legislators, agency/department leaders, customers, vendors, and contractors.
- Proficiency in Microsoft Office, Word, Excel, Outlook, Access and Power Point.
- Experience with, or aptitude to learn technology systems including Cisco phone, mobile phones and applications, conference phones; computers, laptops, and pads/notebooks, (i.e. PCs and Mac/Apple products); copiers, printers, scanners, and fax machines; Smart Boards and LCD projectors; webinar, Zoom, Teams and Skype/FaceTime interface platforms.
- Experience with, or aptitude to learn Banner, Campus Labs and other data applications used by the University including project management applications.
- Excellent skills with desktop publishing, data entry, and text editing.
