About the role

We are seeking dedicated Medical Support Assistants (MSA) to provide front desk and scheduling support at VA healthcare facilities. The MSA will be responsible for appointment scheduling, patient interactions, coordination of care, and administrative duties. The role requires excellent communication skills, adherence to VA policies and HIPAA regulations, and proficiency in VA scheduling systems.

WORKSITE: 4100 E Mississippi Ave, Glendale, CO

WORK SCHEDULE: Monday - Friday, 7:00 AM - 6:00 PM (8-hour shifts within this timeframe), excluding federal holidays.

COMPENSATION: $21.50 per hour

BONUS POTENTIAL:

  • Training Completion Bonus: $250.00 upon successful completion of training
  • Six-Month Work Anniversary Bonus: $500.00 after six months of continuous employment
  • Attendance Bonuses: Additional incentives for consistent attendance and punctuality

WHAT YOU'LL DO:

  • Schedule and coordinate patient appointments, ensuring proper documentation and accuracy.

  • Perform front desk reception duties, including greeting patients and answering inquiries.

  • Validate and update patient demographic information.

  • Process community care consults via HealthShare Referral Manager (HSRM) and Provider Profile Management System (PPMS).

  • Communicate with internal medical providers on VA Community Care policies and processes.

  • Answer and respond to phone calls in a courteous and timely manner.

  • Use Microsoft Office products (Excel, Word, Outlook, Teams) daily.

  • Ensure quality customer service for all patients, VA staff, contractors, and healthcare professionals.

  • Travel as needed for fingerprinting, PIV pick-up, or IT equipment retrieval at designated VA facilities.

  • Maintain compliance with HIPAA and VA privacy regulations.

  • Process incoming and outgoing correspondence, faxes, and mail.

  • Open and close clinic schedules, monitor no-shows, and manage appointment tracking.

WHAT YOU'LL BRING:

Education & Certifications:

  • High School Diploma or GED equivalent (documentation required)

  • Basic medical terminology knowledge

Experience:

  • Minimum 6 months of customer service experience

  • Proficiency in Microsoft Office Suite

  • Ability to type at least 50 WPM

Skills and Abilities:

  • Excellent oral and written communication skills.

  • Ability to work efficiently in a fast-paced environment.

  • Strong attention to detail in scheduling, documentation, and data management.

  • Ability to problem-solve and work independently.

  • Optimal but not required - General knowledge of patient check-in systems (VetLink, CPRS, VISTA, CTM, HSRM, PPMS, etc.).

Contract & Work Environment:

  • Must be a U.S. Citizen.

  • Must have no health or physical disability restrictions that interfere with assigned duties.

  • All personnel qualifications are subject to VA review.
